Case: For this Project - Your Association is The American Association of Pinterest Pinners (AAPP).
You are a meeting planner for Meetings Plus, a nationally recognized consulting firm. Rick Barcus executive director of AAPP approached your company about the possibility of planning his association's first-ever convention. Mr. Barnes, a lawyer, has been effective in his lobbying, recruitment, and fund-raising efforts for the AAFG. However, the association has never before had a convention. With 1,000 members, Mr. Barnes feels there is a large enough group to hold one (anticipates that 30% will attend). In addition, his informal polling of the membership indicates interest in the association launching such a venture. Besides benefiting the membership, Mr. Barnes believes that if he is the first executive director to be involved in the organization of a convention, it will increase his stature in the eyes of the AAPP board. AAPP members are located throughout the United States, with the largest concentration on the East Coast (especially New York). Mr. Barnes believes the ideal length of an AAPP convention would be three days. It would be designed to provide networking, educational programs on marketing, new techniques, trends in health, sources of information, websites design; social media, and time management. He also thinks there is an opportunity for a small trade show with possible vendors and sponsors from such industries as those involved in providing services to Pinterest Pinners. Your assignment is to provide a PowerPoint presentation describing the facility that you select for this meeting along with a proposed program, plans for marketing the meeting to membership, and other meeting aspects covered in this course (security, transportation, etc.). You may select any destination. You are not limited to the East Coast but you must be able to justify your location. Basic Requirements: I. Meeting purpose and objectives A. Marketing efforts B. Host City - Support for why this city was chosen C. Meeting/Sleeping Facility - Support for why this (or these) facility(ies) D. Agenda for your Meeting (include all programming times) E. Services available in house (example: audio-visual, food and beverage). F. Budget for your meeting (include income from registration and expenses for your meeting - broad numbers, not exact) G. Floor plan/layout (with support that these rooms will meet your needs) H. Food and Beverage Plans (include at least three specific menus) I. Transportation considerations
Would you plan the exhibition yourself or use an exhibit services contractor? Why? K. Basic Floor plan for exhibits (include types of exhibitors)
