Workflow Diagram Case Study

Overview

This assessment focuses on the concepts learned in developing the workflow diagram in Session 2. Based on the case study scenario given below: The Lincoln Company case study, this assessment aims to prepare students to intuitively interpret and prepare a graphical representation of a business scenario from the activities, documents, process participants, customers and other important factors. The objectives of this assessment are as follows:

1. To show understanding of why workflow diagrams are needed within a business environment
2. To develop hands-on understanding of the concepts by constructing diagrams with correct symbols to represent the targeted entities

Purpose

The purpose of this assessment task is to:
• Commentate upon and quantify salient issues in the changing business environment and critically reflect on how these modify the response of Business Process Engineering to achieve positive outcomes in such fluid environments;
• Deconstruct the relationships between actors, work flows, and objects in a business process;
• Investigate a business process through the framework of Event Controlled Process Chains and Business Process Modelling Notation;

Assessment case study: Lincoln Company

The Lincoln Company operates pet supply stores at many locations throughout New England. The company's headquarters are in Boston. The company accepts cash and its own Lincoln charge card (LCC). LCC billing and the treasury functions are located at headquarters.
At each store a customer presents the item(s) to be purchased along with cash or a LCC. Sales clerks prepare LCC slips and then all sales-cash and charge-are keyed into the cash register. At the end of the shift, the clerk forwards the LCC slips to the store cashier (again, as noted above, ignore the handling of the cash). The store cashier batches the LCC slips and sends the batches to the cash receipts department in Boston at 5:00 p.m. each day.

As each sale is keyed in by the sales clerks, Lincoln's central computer system captures the data and stores them on a disk ("sales data"). Each night, the computer prints a sales report summarizing each store's sales data. On the following morning, the sales report is sent to the cash receipts department, where the LCC slips for each store are reconciled to the line on the sales report that totals LCC sales for that store. The LCC slips are then sent to Lincoln's IT division, where data preparation clerks scan the LCC slips to record the charges on a disk ("credit sales data"). At 9:00 p.m. each evening, the disk containing the credit sales data is e-mailed as an attachment to the computer room, where it is used to update the accounts receivable master data (also on disk). Each month, the computer prepares customer statements that summarize the LCC charges, and sends the statements to the customers.

Part A Workflow Diagrams
Your task is to work individually to prepare a user-level workflow diagram and a combined work-flow diagram interpreting the case scenario, in the specified diagrammatical representation. Your diagram must be well presented and use the elements discussed in session 2 correctly. You may use any tool you like to create the diagram, BUT it must be submitted in pdf format.

Part B Self-reflection
You will be required to write a two page, 500 word self-reflection which outlines to explain how you have achieved unit learning outcomes through this assessment and how you feel on the significance of constructing these workflow diagrams if were to perform based on the purchase order approval within the Enterprise Procurement Model, given this mentioned process: An employee creates a purchase order that has to be approved by his manager before being processed further. If the order is rejected, the employee receives it back and can do changes to it, in order to try again having it approved. This step can be repeated until the manager confirms the purchase order.

The self-assessment should be focused on how you performed and your clarity in understanding the achieving a specific outcome(s) and aims to reflect on your comprehension of this workflow diagram in an ERP based environement. Use the assessment rubric as a guide to what your self-assessment should contain.
• The report is to be typed in Arial or Times New Roman, font size 12 with double spacing.
• Self-reflections do not need an assignment cover sheet attached. Formatting is as per the report.
