Assignment - Database Design & Development as a Business Solution

Case Study:

You are employed as an Associate Database Engineer for consultancy company who provides IT solutions for clients. In the beginning of this year, the company has been contacted by Institute of Higher Studies (Pvt) Ltd who is a pioneer in Higher Education. Institute of Higher Studies is a prestigious education and vocational training provider in private sector in Sri Lanka. The campuses of the institute offer various educational courses ranging from certificate level educational courses to higher national diplomas and degrees in IT, English, Teacher Training covering the entire Sri Lanka in every district. The courses are conducted as group classes and individual basis to students at different age levels semester wise.

The process of registering students for courses in a campus begin with advising them how to select courses and collecting their details to organize into a system. Each campus uses a paper based filing system for organizing customer information, which is in this case Student Information as a backup or failsafe for existing computer system in Marketing Dept. Because the existing computer system is outdated and does not meet the expected by the department, the staff is highly depended on the paper-based system. In the system, a separate folder is opened for every new student and several ledgers are maintained for other works such as Course or Lecturer management.

Further into this matter, during the process of registering students for a selected course in a certain campus, representatives of the marketing department use a paper-based application form to gather certain information from a student and then the collected are organized into individual folders with other useful sheets. The following information is collected and maintained.

• Necessary Student Contact details
• Details of courses and their batches
• Details of different batches and their course and student information
• Payment details of students
• Progress of courses and their batches

During an internal audit, management had realized that the amount spent for stationary items in marketing department specially for sheets is gradually going up in every campus. By further investigation into this matter, it was identified that the wastage of application forms for collecting data have been gone up due various facts. After few meetings with relevant parties, a database system with frontend interfaces was proposed as an IT solution to rectify the problem. The solution and the technology to implement it will be provided by your company and it has accepted the contract. Designing and developing the database system and its interfaces according to requirements of the client management have been assigned to you and have been asked by your manager to investigate the system requirements; and design, create and implement the system. One of the requirements of the contract is that manuals be made available to Institute of Higher Studies (Pvt) Ltd.

Part 1

Before you start the development of the database system, Over Team Lead, your project manager has asked you to produce a report for the CEO of IHS, containing the following:

1. The design of the relational database system using appropriate design tools and techniques. It should contain at least four interrelated tables.

2. Clear statements of user and system requirements.

You would prefer to produce a more detailed document, so you will produce a comprehensive design for a fully functional system which will include interface and output designs, data validations and cover data normalization.

Project manager would like a separate report on your assessment of the effectiveness of the design in relation to user and system requirements.

Part 2

Once the designs have been accepted by project manager, you have been asked to develop the database system using evidence of user interface, output and data validations and querying across multiple tables.

You want to include more than just the basics so you will implement a fully functional database system which will include system security and database maintenance features.

The developed system will be demonstrated to project manager and has asked you to produce a report:

1. Assessing whether meaningful data has been extracted through the use of query tools to produce appropriate management information.
2. Evaluating the effectiveness of the database solution in relation to user and system requirements, and suggest improvements.

Part 3

Once the system has been developed, you will test the system and project manager along with Team Lead will complete a witness statement indicating how your tests are performing against user and system requirements.

You will produce a brief report assessing the effectiveness of the testing, including an explanation of the choice of test data used.

Lastly you will produce technical and user documentation which will be given to the company.

You want to provide some graphical representations for ease of reference in the technical guide, so you have decided to produce a technical and user documentation for a fully functional system, including diagrams showing movement of data through the system, and flowcharts describing how the system works.
