Assessment Task - Support the evolution of collaborative agreements

As part of your role as Program Manager, you are required to:

• Identify opportunities for collaboration with external companies or between organisational departments to support the realisation of program benefits
• Develop a collaborative alliance
• Establish collaborative agreements
• Support the evolution of collaborative agreements

Complete the following activities:

Task 3.1 Case Study

You are working with the collaborative ally in your program. Assume the scenarios below occurred. Contextualise each scenario to reflect your program and plans where required.
You have received a series of reports that have highlighted the following issues
A. Two of the KPIs set in the collaboration plan are not on track (specify the KPIs).

B. The following happened:
o The collaborative ally is no longer able to share all the resources that were agreed upon (specify what resources)
o The collaborative ally is not providing timely reports/feedback as agreed because they think it is time-consuming

C. The Program Board has decided to discontinue one of your program projects (specify which project) and cut your program budget by 15%.

D. The collaborative ally is implementing a new knowledge management system that requires substantial work, new processes, and personnel training.

A) Manage the collaborative alliance
For each scenario, address the following:
• Identify, analyse and evaluate how the program and the collaborative alliance is impacted
• Outline how the issue management process is applied (including the escalation process)
• Outline how you maintain a productive working relationship with the collaborative ally
• Identify what changes in the MOU and collaboration plan need to be negotiated and implemented (if any, for the scenario) following relevant policies and procedures
• Outline how to address any variance to expected results based on the impact of the scenario on the objectives of the collaboration and, therefore, the program

B) Evaluation

Based on your work in this assessment, the scenarios you responded to and self-reflection:
• Assess and evaluate the performance of both parties against the organisational and program objectives and expected results.
• Determine lessons learned.
• Reflect on how you could improve your managerial and leadership skills when engaging in collaborative alliance.
