An executive summary is a summary of the event plan and is typically presented at the beginning of the document and read first by the client. The Executive Summary is offered to the client to review and decide about whether the conference and tradeshow will proceed. The Executive Summary briefly presents every main section in the report and contains enough information for the client to get familiarized with what is discussed in the full report. The Executive Summary should answer the 5 w's (For example: Who is the event for? Why is the event taking place? Where is the event taking place? When is the event taking place? What is happening?)

Scenario:
You are the meeting planner for the Canadian Society of Professional Event Planners (CanSPEP). You are responsible for planning their 2023 Annual Canadian Conference and Tradeshow taking place November 2023 in Toronto, Ontario.
This conference and trade show takes turns going across the country and in 2023 it will take place in Toronto. It is a full 2-day, 2-night conference. In the previous 6 years, the conference has been held in Vancouver, Ottawa, Calgary, Quebec City, Montreal, and Halifax. The overall attendance at this annual conference and tradeshow has steadily increased every year.
The membership for CanSPEP has also grown rapidly over the last 6 years, growing from 1,000 to 2,000 members across Canada.
· Last year in Halifax, approximately 500 members attended.
· About 15% bring their partners. No one brings children.
· Registration to the conference is only open to members of CanSPEP, of which there are currently 2,000 members across Canada, which means that only 25% of their membership attended last year's conference.
Membership includes event planners (wedding, tradeshow, conference, corporate, charity, festivals) as well as suppliers representing event venues, hotels, caterers, audiovisual, production, décor, and floral.
Each year, the CanSPEP identifies a new theme and/or tagline for its conference and tradeshow that properly captures its vision and mission and attracts attendees' attention. The theme is also reflected in the various sessions that are offered throughout the conference. There has also been an increasing interest from conference attendees in having a prominent keynote speaker at the opening plenary session that has a powerful and/or inspirational message.
Overall, conference attendees are seeking a good educational experience, along with exposure to new vendors, and lastly, an opportunity to network with their industry colleagues.
The conference and trade show includes the following functions:
o Welcoming cocktail reception
o Opening plenary session
o Closing plenary session
o Educational breakouts (4 concurrent breakout sessions per day)
o Annual general meeting
o All meal functions including - Breakfasts, lunches, dinners, and receptions
o Gala cocktail reception and Gala dinner
o Trade show with approximately 30 exhibitor booths (number for 2021)
o 200 guest rooms per night are required for out-of-town attendees
The main objectives for 2023 are:
· Increase the number of CanSPEP members attending by 10% over 2022
· Increase the number of exhibitors at the tradeshow by 15% over 2022
· Provide networking opportunities for all attendees
· Provide educational opportunities on trends in the event industry and operating small event businesses
