Administrators are typically the first point of contact for all staff and guests, essentially the "gatekeepers" of the office. They are hired and trained to promote a positive environment, engage others and complete complex administration tasks as required at an organizational level. Ultimately, the Administrative individual is responsible for assuring that the organization has the administrative support necessary to conduct its business and fulfill its mission.
For this assignment, you will be provided a list of 13 essential duties and responsibilities of an administrative professional. You will be required to choose seven (7) of the 13 tasks in order to:
o Explain the responsibility
o Identify a process/policy you could follow (including the steps you would take to complete that tasks or give an example of how the duty could be completed)
o Illustrate how your skills (from school, volunteer work, or past work history) relate to this task.
Self-assess, then decide if you could competently carry out this task.
For example:
Task 1: Assist Managers in recruitment process.
As an administrator, I could be asked to work with the different departments to aide in their hiring process. This could mean I would responsible for helping managers with specific outcomes created to hire new staff to the organization. To help, the administrator could post the job description online, collect responses, answer emails related to job inquiries, and even review resumes to provide recommendations on who the managers could interview. The administrator could also be asked to participate in the interview process to welcome the candidate or take notes. At previous jobs I have worked hands on with the recruitment process, completing role assessments, developing job descriptions, posting jobs, collecting and reviewing resumes, following up with candidates for interviews, and onboarding hired staff. These skills directly relate to task one, and I feel I could competently assist with this task.
For those who have not been in an office/workplace, this will require research.

- Route and screen all incoming calls, while distributing messages to appropriate team members.
- Ensure that conference rooms, meeting rooms and reception areas are ready for meetings.
- Oversee the preparation, analysis, negotiation, and review of contracts.
- Plan and coordinate staff development and monthly agency-wide staff meetings.
- Create and maintain effective internal controls for equipment inventory.
- Maintain and safeguard organization records.
- Manage the organization's office and storage space. Perform as liaison with varies vendors,
- providing maintenance, security, and other occupancy services.
- Works with management team and staff to update and maintain organization website.
- Conduct new employee orientation, and exit interviews
- Maintain Employee personnel files.
