Objective:

This is a group case study aimed to give the student an overview of an Information System environment and to apply analyses and designing techniques during system development.

Outcomes:

1. Apply the tools of structured analysis within a process of systems design.
2. Describe the different phases of systems design.
3. Illustrate appropriate format and media for input design.
4. Identify different types of output design and its guidelines.

Task A: Work Proposal

Submit a work proposal for this assignment on Moodle, which must demonstrate understanding of activities in Task B, C and D by 13th April 2017. You are required to submit the proposal with the following details.

1. Name of the organization that you selected for Task B and the date of visit to the organization.
2. Identify all the external entities, files and major processes from the scenario (Task C)
3. Division of work between group members and timeline for completion of each task.
4. Identify and specify all the resources needed to solve the assignment.

Task B-Analysis of an existing organization from the perspective of a System Analyst

Select any Omani digital firm and conduct an interview with the IT head of the organization. The purpose of the interview is to identify the business tasks, procedures, business goals and to find areas that can be improved by applying technology. After conducting the interview, prepare the following.

a. Each members of the group should write a short description of the chosen organization/department. From the individual description, prepare a final description of your findings about the business processes, procedures and objectives of the chosen organization/department.

b. As a system analyst, each group members should find out a technical problem associated with the organization along with a detailed description and prepare a recommendation on how to solve this issue to improve the existing procedures using suitable technology to help the organization achieve the business objectives effectively. From the individual description, prepare a final description including all the key aspects.

c. Based on one business process identified from the above analysis, each member in the group should prepare and design an Input Form for the proposed system of the chosen organization following the guidelines of creating a form. Also briefly explain the guidelines followed in creating the form. Finally, from the individual designs select or combine the input design with best features.

d. Each group member should prepare and design an Output Form for the proposed system following the guidelines of creating an output form. Also briefly explain the guidelines followed in creating the form. . Finally, from the individual designs select or combine the output design with best features.

Task C-Case Study Analysis

Tasks: Read the following scenario, understand and present your response.

Description of the Company:

Bahwan LLC is a company that sells high quality and reliable automotive spare parts. The management of Bahwan LLC has decided to automate all the manual processes currently undergoing in their departments. The following narrative describes the few processes done in Sales department, purchase department and quality department.

Scenario:

A customer will contact the Sales department with the request for an order. A Sales clerk who works in sales department , will then complete an order form by getting the name, address, telephone number and parts names the customer wishes to be quoted for.

The order form is then transferred to the purchase department who will then fill in the product number and purchase price using the details from Purchase file. The completed form will be forwarded to the sales department.

The sales department will be quoting the selling price as 15 % higher than the purchase se price mentioned in the form. If customer buys multiple copies of a part, they get a discount of 2% of selling price for every part, otherwise no discount is offered. After fixing the final price, the form will be stamped .The original form is then sent to the customer and a copy of it is placed in an Order Form file.

If the customer is satisfied with the pricing, he will send an order confirmation to sales department. Bahwan LLC has a warehouse away from the main office where automotive spare parts may be stored before their distribution for sale. With the confirmation of the order, sales clerk will retrieve details from Order Form file and sent a request to warehouse to transfer the demanded parts to quality department. The staffs who work at warehouse will forward the parts to quality department as per the request from sales department.

Each part undergoes quality inspections by Quality Inspector to ensure that customers receive only the very best parts. The status of inspection for each order will be stored in an Inspection file. If all parts undergo quality inspection successfully, the inspection file will be updated with status "Pass Quality" for the particular order and parts will be forwarded to sales department. If any part doesn't satisfy the quality requirements, the parts will be returned to warehouse.

After receiving the payment from customer, sales person will prepare a quotation (with order number, customer number, parts details) to ship the parts. The quotation will be forwarded to Shipping Company along with the parts.

Based on the above narration, perform the tasks listed below:

1. Prepare the following for the above mentioned scenario:
a) Context diagram.
b) Level 0 DFD (Data Flow Diagram).
c) Level 1 DFD of any one of the processes identified in the Level 0 DFD.
2. Write Structured English to express the logic covered in the 2nd and 3rd paragraphs in the scenario.

Task D - Reflective Writing/Critical Evaluation (Individual Task)
