Lost or stolen devices

The issue: Theft of PHI (protected health information) from lost or stolen laptops, desktops, smartphones, and any other devices that contain patient information can result in HIPAA fines even when the clinic is not at fault. These devices must have the necessary safeguards in place, such as password-protected authorization and encryption in the event the device is stolen.

Scenario: The clinic has just received new laptops for all the medical assistants to use while in the exam room and for charting after the patient's visit. Jane, one of the MAs, is outside on her break charting and is signed into the system. A friend comes to visit her at work and needs to pay a bill and check his email. Jane allows the friend to use her work computer to do so. While the friend is on the computer, Jane goes inside to get lunch. When she returns, she sees that her friend is looking up his own medical records and looking at his latest lab results.
