2. Identify 4 types of project initiation documentation you may use in an project initiation document, which are relevant to an organisation of your choice.

3. Choose two of the project initiations documents you identified in question 1A:2 and prepare these documents in accordance with an organisations procedures.

1. Identify and document the following organisational strategies and goals in relation to an organisation:
- Market focus

- Mission statement

- Strategic plan

- Values and ethics.

2. Provide an example of a completed project. Identify and document how your project related to each of the following organisational strategies and goals:

Objective To provide you with an opportunity to demonstrate knowledge of how to negotiate and document project objectives, outcomes and benefits.
1. Identify the stakeholders within your project with whom you will have to negotiate the project objectives, outcomes and benefits.

2. When negotiating, identify three best practices you should use.

3. Provide one example of a negotiation you have participated in. Explain the following:

» What were you negotiating? - Objectives, outcomes and benefits.

» How did these differ from those of your stakeholder?

» What practices did you use to influence the negotiation?

» What was the result of your negotiation?

» Was there anything you could have done differently?

4. Research and outline an organisational policy for how to document negotiations. Attach a copy to this activity.

Activity 1D

Objective To provide you with an opportunity to demonstrate knowledge of how to negotiate project governance structure with relevant authorities and stakeholders.
1. What is project governance structure? Research and identify 5 frameworks a project governance structure establishes in an organisation.

2. Choose three of the frameworks you identified in question 1D:1 and provide an example where you have previously negotiated with authorities and stakeholders over the framework. Outline the following:
» What framework did you want to negotiate?

» Why did you want to negotiate the framework?

» What reasons did you put forward?

» What was the result?

» How did this impact the project?

3. What is a steering group? Research and identify the relevant authorities and stakeholders with whom you must negotiate to agree upon the final project governance structure in an organisation.

Activity 1E

Objective To provide you with an opportunity to demonstrate knowledge of how to prepare and submit project charter for approval by relevant authorities.
1. What is a project charter and why would you use this?

2. Identify five types of information you would consider when preparing your project charter and provide an example of each.

3. Using the sample project charter template in activity 1E in chapter 1.5 of the unit, or using your organisation's own template, complete the project charter. You may refer to a previous project or current of your choice and should attach a copy to this activity.

4. Research and identify the relevant authorities who will need to approve your project charter in an organisation and how you need to submit the document.

Activity 2A

Objective To provide you with an opportunity to demonstrate knowledge of how to establish and implement a methodology to disaggregate project objectives into achievable project deliverables.
1. What is a work breakdown structure?

2. Choose a project of your choice, this may be a case study, a previous project you have completed or a project you are preparing currently. Your task will require you to create a work breakdown structure that disaggregates project objectives into achievable project deliverables.
Record your information in an appropriate document and attach to this activity.

Activity 2B

Objective To provide you with an opportunity to show knowledge of how to identify project stages and key requirements for stage completion against client requirements and project objectives.
1. What is stage completion? Identify the 5 stages.

2. Identify three key requirements you are likely to be set in the initiation stage of a project.

3. Identify three key requirements you are likely to be set in the planning and designing stage of a project.

4. Provide an example of a key requirement you have been set by a client which differed from your project objective. For example, how to dispose of left over equipment. Explain the following:

Objective To provide you with an opportunity to show an understanding of how to analyse project management functions to identify interdependencies and impacts of constraints.

1. What are the nine project management functions?

2. Identify two methods you can use to maintain the smooth running of these functions. Explain what these are.

3. What are the three triple constraints of a project? Provide an example of a previous project you completed which was affected by the three triple constraints. Explain what tasks were interdependent on other tasks and what functions related to each task.

4. Explain the importance of using the correct mathematical language when communicating with team members and stakeholders.

Objective To provide you with an opportunity to demonstrate your knowledge of how to develop a project management plan that integrates all project-management
functions with associated plans and baselines.
1. Using a project of your choice, this may be a case study, a previous project you have completed or a project you are preparing you must create a project management plan. You should include the following sections relevant to your chosen project and organisation.

2. Draw up a project plan approval document to attach as an appendix to the project plan attach a copy to this activity.

3. Consider the negotiation process for a project. Explain the following: What would you like to negotiate?

Activity 3A

Objective To provide you with an opportunity to demonstrate an understanding of how to manage a project in an established internal work environment to ensure work is conducted effectively throughout the project.
1. Identify two internal work environments and explain what these are.

2. Identify the established policies and procedures of an organisation for which your project team could be working and any problems you feel the project may encounter due to conflicting interests and/or beliefs.

3. Provide an example of an internal work environment you have previously monitored in an organisation. Outline how you monitored the environment and whether your monitoring ensured that work was conducted effectively. If not, how could you have monitored the environment differently to ensure that work was carried out effectively?

Objective To provide you with an opportunity to show an understanding of how to ensure associated plans are updated to reflect project progress against baselines and approved changes.
1. What are project baselines? Provide an example of a project baseline.

2. Identify 3 examples of a change you have made or could make to a project baseline and approved changes. Explain why you would make these changes.

3. Why is it important to record changes to baselines? Research and identify the template document an organisation uses to record changes.

Activity 5A

Objective To provide you with an opportunity to demonstrate knowledge of how to identify and allocate project finalisation activities.
1. Identify three required project finalisation activities and explain what these are.

2. For each activity you identified in question 1, identify which person(s) you would allocate the task to in your project team/organisation and explain why you have chosen this person. You may allocate the responsibility to more than one person if appropriate.
