Learning Outcome 1: Explain the purpose of project management and explain the concepts, differences and applicability of PMBOK and Agile methodologies to Projects.
Learning Outcome 2: Initiate and document a PMBOK project, including project charter, stakeholder analysis, project scope, project schedule, critical path analysis, project resourcing and project budgeting.
Learning Outcome 3: Manage an Agile project team, including goal setting, motivation, communication and culture.
Learning Outcome 4: Evaluate the status of a project, identify and manage risks and recommend appropriate corrective action when necessary as member in a project team using either PMBOK or AGILE project management methodologies.
Assessment - Group Work & Project Activity Report Writing using PMBOK guideline
Purpose: This assessment will allow students to work as a team of 3 or 4, demonstrate their understanding of the basic concepts of PMBOK including defining the project charter, scope, scheduling, budget and project plan. Students will learn how IT projects are managed in the industry and will also play various roles a typical project team comprised of, such as project manager, team member and other stakeholders. This assessment contributes to learning outcomes b and d.
Task Details: PMBOK Case Study
Project Background: Cyclone IT is an Australian based IT Managed Services provider. They provide a range of IT infrastructure management to companies that do not have internal IT staff. The managed services could be for on premise equipment and services or SAAS (Software as a service) application. Cyclone IT work in various industries and the most common are not for profit, aged care and sporting organization. The demand for their Managed services has recently been sky rocketed and they have started servicing midmarket (50 to 250) seat organizations. This has meant a need for more automated Customer Relationship Management (CRM) and Monitoring and Management System (MMS) system to be implemented.
Project Objective - Cyclone IT appointed your team to outline the business processes and technological requirements to implement the CRM and MMS applications.
Desired Outcomes:
o Understand the current process flow and document solution used for CRM and MMS at Cyclone IT.
o Both applications will require current customer data to be imported.
o Proposed CRM solution should allow Cyclone IT and their clients to raise and track IT issues with the IT environment at each customer site.
o Proposed MMS solution should allow Cyclone IT staff to be remotely access computers at customer site.
o Proposed solution allows for any change management with all clients of Cyclone IT.
o Proposed solution should keep track of which customer has completed the onboarding and are fully visible in the CRM and MMS systems.
o Proposed solution should include any training for customers and Cyclone IT staff.
o You are to work with the vendors of Connectise and Labtech to plan and complete the implementation.
o Proposed solution should allow for any overlap of the current setup and the new application installation.
o The onboarding of the clients should be phased. Initially a maximum of 5 clients should be onboarded. Further batch size to be determined after the initial 5 client onboarding.
o Proposed solution should appropriately provide security access to all users (i.e. admin, trainer and client).
o Proposed solution should provide online access to the CRM portal for they can track the progress of the tickets.
Project Scope:
1. Implementation of the system should ensure that it can be scaled for future enhancements and cloud solution if possible
2. Project documentation for the system process requirements
3. Proposed solution should integrate with existing organisation system.
4. Implemented systems should have Advance Data Security
Assessment PMBOK Group Work Activity Report
Each group will provide a group work report on how the group has worked together to produce the PMBOK reports. It should not contain the main deliverables of the PMBOK project reports. Each group will document how members discuss and agree the division of responsibilities and describes how individual efforts capitalised on the strengths of each group member. It will be used as evidence of individual contributions in the group. It is therefore in each member's interest to ensure that their contribution to the final report is complete. Each group is expected to have at least three group meetings for the group assignment.
The minutes of group meetings should be documented and attached as an appendix of this group work report, clearly indicating who was present, issues and actions, agreed timelines, and the like. The group work report must indicate that a fair and reasonable distribution of work amongst group members was achieved. Periodic information such as emails or diary entries must be inserted into the correct section in chronological order.
If the submitted group work report suggests that not all contributions were of equivalent standard and effort, differential marks will be awarded to individuals within the same group. It must also document what individual group members understood as their allocated tasks, that individual group members submitted allocated work of acceptable standard and quality by the date that was agreed upon.
Assessment - Group Work & Project Activity Report Writing following AGILE methodology
Purpose: This assessment will allow students to work as a team of 3 or 4, demonstrate their understanding of AGILE project management methodology and apply their knowledge to initiate and manage a case study project using AGILE software. Students will learn emerging application of AGILE methodology in IT project management and utilise various software tools to manage the project. This assessment contributes to learning outcomes c and d.
Assessment topic: Students are given a project case study scenario including details of required project resources, timeframes and outcomes required. They will set up their project team under Slack and Trello and run the case study project as an Agile project using the provided case study information.
Task details: AGILE Case Study
Project Background: Cyclone IT is a Sydney based IT Managed Services provider. They provide a range of IT infrastructure management to companies that do not have internal IT staff. The managed services could be for on premise equipment and services or SAAS (Software as a service) application. Cyclone IT work in various industries and the most common are not for profit, aged care and sporting organization.
In recent times, Cyclone IT has secured a large project with one of its clients Waldorf Aged Care (WAC). WAC is a 6-site organization based in Sydney, Melbourne and Brisbane. The project requires Cyclone IT to migrate emails from the on-premise Microsoft Exchange server to O365 and to replace all existing desktops/laptops with new computers.
Some of the specific requirements (not limited to) that the school authorities have indicated are following:
o There are 3 sites in Sydney, 2 in Melbourne and 1 in Brisbane.
o The 3 sites in Sydney have 23, 10 and 8 computers.
o The 2 sites in Melbourne has 12 and 11 computers
o The 1 site in Brisbane has 16 staff,
o The head office is in Sydney and has the Exchange server.
o Windows 10 operating system for the computers,
o Office applications such as Microsoft Office,
o Subscription for online application for iCare and Simavita
o Confirm that all the sites have the minimum internet speed to support the business requirements.
o A Website, through which all the sites can collaborate and display news, events, notifications and can display any NDIS updates.
o WAC need the new setup to be completely functional within 3 months and needs to be available 24/7.
o There is a combination of active and shared mailboxes. There may be a requirement to migrate certain old and inactive mailboxes.
You are an employee of Cyclone IT. The company has designated you as a Project Manager and has asked you to form a small team to implement and deliver the project on due time.
