You are the new general manager of the Smith Convention Centre and Jimmy Café. An employee has just told you that the stock control procedures for the convention centre and café are extremely unsafe. Currently all stock destined for the convention centre and café are delivered directly to the garden centre trades centre, then they are moved to the convention centre and café via a forklift. There are no clearly marked paths or signage showing that a forklift travels there.
An incident occurred where the forklift driver did not see an employee walking in their path. They were knocked to the ground, received a broken arm and severe bruising.
You decide to run a consultation meeting to discuss this serious issue with employees and how it can be resolved to ensure the safety of everyone.
You also think the bins and the boxes from the lobby need to be moved using equipment such as trolleys to assist with the safe manual handling.
Instructions
You are to run a consultative meeting with at least two other people. They are to play the roles of team members you are consulting with at the convention centre and café. You are running a consultation meeting about this issue so that you can get employees' input into how this can be resolved to keep everyone safe.
You need to identify the following.
- What the issue is.
- How this issue can be resolved.
- How the team members feel this can be resolved.
- The treatments that can be put in place.
- Any interim measures until full treatments have been put in place.
- What new procedures will be put in place?
- How you will communicate these new procedures to all employees.

Participant 2 - Event manager
Role
You have just heard about the incident of the employee injury involving the forklift driver. You have been saying for months that an accident was going to happen! You also think that having the employees move the boxes from the lobby area when they arrive is also unsafe as the boxes are heavy and you have no equipment to move them. You have strained your back a few times carrying the boxes to the conference hall.
Instructions
You think this issue can be resolved by having deliveries made directly to the lobby of the conference centre and directly to the café.
If this cannot be achieved then forklift warning signs, lights and mirrors should be placed in the area between the garden centre and the convention centre.
Markings should also be painted on the ground highlighting that it is a mixed zone that includes forklift drivers. The forklift should also have a light and sound emitting when it is moving.
You want to know:
- What new procedures will be put in place.
- When these new procedures will be put in place.
- How everyone will be notified of these changes.
- What short-term treatments will be put in place in the interim.
- What action you can take to prevent injuries in this area.
- What training will everyone receive.
Participant 3 - Wait staff
Role
You have just heard about the incident of the employee injury involving the forklift driver. That could have been you as you often walk out that way to take out the kitchen waste bins! You have had a few close calls where you haven't heard the forklift come up behind you!
You also think that having the employees move the boxes from the lobby area when they arrive is also unsafe as the boxes are heavy and you have no equipment to move them. You have had a sore back after moving the boxes from the lobby into the kitchen.

You think this issue can be resolved by having deliveries made directly to the lobby of the conference centre and directly to the café.
