South Community Hospital is a new hospital that is opening January 2. The facility will have an active clinic and Emergency Room in addition to inpatient services.Unfortunately, it will not have an EHR when it opens because of budget constraints.You have been hired as the HIM Director. You are developing a filing system and determining the number of shelves and the like that you will need. The hospital has asked you to keep hard copy records for 4 years. To simplify the project, the number of discharges includes inpatient, outpatient and ER. The thickness of the records are ¾inch or .75.

  • Expected number of discharges year 1 : 25,000
  • Expected number of discharges year 2:28,000
  • Expected number of discharges year 3:32,000
  • Expected number of discharges year 4:40,000

Determine the following:

  • Amount of filing space required
  • Type of shelving desired
  • Number of shelves per unit
  • Number of shelving units required
  • Type of filing system to be used (centralized, decentralized, terminal digit,alphabetic, etc.)
  • Method used to get information from HIM Department to the requestor
  • Type of equipment needed to file and retrieve records
  • If outguides will be used
  • Security measures to be taken
  • Design of medical record folder
