Electronic Medical records (EMR) are supposed to make the life of healthcare workers easier, ensure information is transparent and make hospital data analytics possible. According to Glenn Krauss, (president of Core CDI and creator and founder of Core-CDI.com) it may not be the case.

EMR may have made life more difficult and created more work, especially for medical doctors. Glenn says "It's not aligned with how they think clinically; it interrupts their thought processes and, unfortunately, it's the patient who suffers. Downstream, the coding and billing suffers."

"I see physicians sitting in front of their computer and they are pointing and clicking and dealing with drop-down menus," Glenn says. Moreover templates appear to be structured in such a way that can hinder data entry workflows and impact the manner in which a diagnosis is entered. "The EMR was not designed by clinicians. Clinicians have no say in how it's populated."

Suppose that funding has been made available to run a pilot project which improves the current EMR system in a small local hospital and enables business analytics professionals to make the most of the patient data available. Your Business Analytics project management team of three persons will be managing this project. Your project management team roles are

A. Healthcare Analytics lead (understands clinic/medical record systems design and analytics)
B. General business lead (driver of team and scheduling)
C. Analytics translator lead (mediator between stakeholders)

Today your team have been invited to the first of many stakeholder meetings. The meeting includes two important stakeholders.

1. A medical doctor (understands patient information and clinic workflow)
2. A hospital data scientist (understands the software used to create the EMR)

Assessment Task

- You will create groups of 5

- You are going to participate in a simulation of a "Stakeholder Management Meeting" where a team of project managers undertaking the above project need to set out a scope for the project, present it to the two stakeholders (doctor and data scientist) and address their concerns.

Part A: Identifying Issues

- In your group of five (5) you will be given 1 hour to discuss and write dot points on the below issues with

a. two of your group members representing the two stakeholders, and
b. the other three group members representing the project management team.

You will discuss:

1. Chose a project management style (e.g. Waterfall, Scrum, Kanban, Github or other) apply the style to this project and justify why you think this is the optimal project management method for this project.

2. Explain the limitations in management style you have chosen

3. The expectations and requirements of the two stakeholders

4. The scope of the project:

» Definition, business need and expected outcome

» Assumptions about project

» The way in which the project will be run (phases, sprints, collaboration, etc.)

» How you will keep track of the project's progress (reports, dashboards)

» How you will measure success (examples of key performance indicators)

» Internal and external stakeholders

• As a group make a dot point list of issues for the scope, optimal method and stakeholder concerns in Microsoft word and submit to Turnitin on My KBS by the end of the time
• It does not need to be longer than 400-500 words

• One group member needs to submit and write the other group member's names on the submission

Part B: Meeting Simulation

• Groups will then be given 30 minutes to develop a (5-minute) script based on their dot points of a meeting between the project managers and stakeholders

• You will ACT THIS OUT in a 5-minute interaction

• Please be as dramatic and realistic in your roles as possible, and try your best to convey the main points addressing the above issues

• You can divide the tasks as you wish, i.e. someone could explain part of the scope and how it fits into the management style

• Have fun with it! (The stakeholders sound quite demanding)
