Question - The TTT Company performs its expenditure cycle activities using its integrated Enterprise Resource Planning (ERP) system provided by Sage Peachtree as follows:
I. User departments can enter purchase requests for items they note as being either out of stock or in small quantity.
II. The company maintains a perpetual inventory system.
III. The purchasing department process all purchase requests from the previous day. Requests for items available from the existing supplier are consolidated to one larger purchase order in order to obtain quantity discounts.
IV. Receiving department employees have read-only access to outstanding purchase orders. Usually, they cheque the system to verify existence of a purchase order prior to accepting delivery, if no purchase order is found, the goods will be returned.
V. Receiving department employees compare the quantity delivered to the quantity indicated on the purchase order, and subsequently produces a receiving report
VI. Inventory is stored in a locked room. During normal working hours an inventory employees wearing an identification badge are allowed to enter the warehouse and remove needed items. Appropriate records are entered on to the system using the designated computer in the warehouse.
VII. All invoices are sent to accounts payable for approval..
VIII. Each Friday, approved supplier invoices that are due within the next week are routed to the treasurer's department for payment. The cashier and treasurer are the only employees authorized to disburse funds, either by Electronic Fund Transfer (EFT) or by printing a cheque. The accounts payable mails the cheques to suppliers or directly picked by suppliers themselves.
IX. At the month end, the treasurer conducts reconciliations and investigates and discrepancies
