Original question: For this week's discussion, select one of the three areas (listed below) and discuss how companies can use information systems and the data within them to address that aspect. Conduct some research and provide specific examples including what companies have focused on in these areas and examples of types of information systems used to gather, analyze and distribute data.

Simply typing "use of data to support organizational collaboration" (or whatever aspect you select) into your web browser will produce results, but be sure to evaluate the sources to make sure they are relevant to this discussion. The idea is to discuss these various aspects and how companies use information systems to improve in these areas: Communication, Collaboration, Workflow

1.Jessica Dallas student post: Google is one company that knows the importance of communication. Google's transparency within the company allows for all employees to know the company's goal and to be invested in that goal. Take for example Google's internal employee message board. The company message board allows employees to communicate about a wide range of topics; this fosters a healthy inclusive relationship between employees.

Although the community board received some backlash from users posting "unkind" words online; Google still used that data to improve organizational communication. In 2018 google implemented some community board guidelines for employees to follow or they would face disciplinary action (Bort, 2018). The example above is only one-way companies can use data to improve communication.

Communication plays a vital role in any organization. Effective communication is the building block of every organization (EduKart, 2013). If various departments are not communicating effectively, then productions numbers will not be as proficient as they should be. Communication tools such as IM, email and shared databases allows information to flow smoothly from the CEO to the lowest level employee; which in turn can cost employees to collaborate more often than not. Managers can convey information and employees can provide feedback.

Sharing information throughout the company makes employees feel as if they are a part of the mission; therefore they are more likely to be enthused to do their job. Data from an open forum can provide you insights on how the company is doing from a customer perspective. Also, you can receive feedback from employees on how they perceive the direction of the company is going. Managers can take the data collected to make certain decisions within the company. Implementing said decisions requires communication between the manager and other employees. Communication at every level in the organization is beneficial to everyone.

2. Latisha Johnson student post: The area that I have decided to discuss is workflow. Workflow can be related to defining roles and process steps. You pretty much can find out who's is responsible for what and how the information, documents and tasks flow from one step to another within the process. Information systems can define this information and include specific rules (who does what, how and when) to provide consistency and greater efficiency. An effective technology solution can automate some of these steps, as well as route information and provide specific timelines.

(Bourgeois, 2014) Since, I work in the financial community within the Department of Navy. I will speak about our accounting system which has a business workflow module within Navy ERP. So, from the time a purchase request, purchase order and invoice has been created, it goes through a workflow approver process. We're able to find out the status of the funding document and determine if it has been approved fully or even who has the particular PR. You can do detailed reporting on the process itself. For example, reporting on how many times each workflow executed, what was the average execution time, how long did it take people to react to items in their inbox, etc. When we talk about business processes or workflows, we are talking about the way information moves around a company or department.

Business process information can move in a number of directions: between people, between systems, or from people to systems (and back again). When one employee needs information from another in order to execute a task, the transfer of information becomes a critical part of the business process. When employees fail to pass on the appropriate information to their counterparts in a timely, concise, and accurate manner, inefficiencies and errors can occur. This can happen within a single department, or across multiple departments. (Expert Advice on Business Workflow, 2017)

Businesses must carefully analyze their own operations in order to map out their processes so they can adjust workflow models within the system. In order for the workflow to be effective, you have to make decisions about how things should work, when they should work, who should be responsible and who should be in charge of which task. Which can include time tracking, employee feedback, customer reviews and operational data.

Using a workflow software can help save your business both time and money, reducing the amount of paper you use and allowing you to generate reports that can help find efficiencies in your day-to-day management. Some of the consequences that a company might face if they don't establish workflows are that paper forms, requests, approvals and verifications are easily misplaced, misrouted or can be left on somebody's desk tray until they're forgotten about. Mismanagement or lack of workflow can be very costly to most mid- to large-sized companies. I believe every organization must have an automated workflow process in place.

3. Guli atakuzieva student post: Most organizations use information systems to communicate with employees. Communication is vital to an organization's success. Using the automated system and the workflow capability to improve internal and external communication is very important (Improve the process, 2019).

Also, the right technology can support employees that are in the office or in a remote location. In order to effectively develop social capital and improve communication, and organization has to embrace technology that will improve communication.

There are several different forms of technology that can be used to improve communication within an organization like social media, messaging apps and virtual meeting software.

With social media opportunities like Facebook, Twitter, and Instagram available to everyone, Human Resource professionals can use these vehicles to recruit potential new employees, post changes in policies, and allow current employees to communicate with their managers. Organizations can also use software like "Webinar" to hold meetings with employees that are out on assignment and can't make it back to the office (Hirsch, 2018).

Also, the next generation of workers prefer to chat use messaging apps like Jabber and Slack and chatbots that interact with applicants and employees. Companies can also use technology to communicate better with their suppliers. They can use an automated system for invoices to track orders and make payments (Improve the process, 2019).
