You are the project coordinator for Capitol Records, an American major record label located in Los Angeles, California. The roof of the main office building was severely damaged by a hailstorm several days ago and a project was quickly launched to replace it with a more modern hail-resistant roof. The timeline for this project is extremely tight. As the project coordinator, you are responsible for ensuring effective communication across the entire project team.
The stakeholders are:
Facilities Manager
Plant Manager
Human Resources
Security
Roofing Contractor
The facilities manager insists on being included in all communication and prefers daily face-to-face meetings. The plant manager is interested in communication only when some aspect of the project changes or a milestone is met. His preferred method is by a direct, private phone call. Human Resources is interested in only those communications that pertain to schedule so they can make relevant announcements to the employees regarding building or elevator closures. They prefer written communication delivered to the physical HR mailbox. Security is only interested in communication dealing with the actual on-site work by the contractor so they can schedule and grant access to the facility as needed. They prefer to communicate via email. The roofing contractor prefers to communicate either by phone or Skype and only care about topics related to the construction work itself, facility access, or scheduling.
make a communication plan that outlines the overall communication strategy between the project stakeholders. Be sure to submit your work as a PDF document.
1. Discuss the difference between effective and efficient communication and give examples of each. Can communication always be both effective and efficient? Give an example of communication that's neither (think outside of the box).
2. For many people, having a meeting equals a waste of time better spent working. Describe a meeting you've attended where this was the case. Contrast this by also describing a meeting that was efficient and productive. What made these two experiences so different? How can we as Project Managers ensure meetings remain productive?
3. Video conferencing has allowed participants from around the world to meet regularly without the hassle and expense of long-distance travel. What are some of the drawbacks of this type of meeting? What are the benefits? Do the benefits outweigh the drawbacks? If given the choice, would you prefer to meet with a project team in person or virtually?
