Using the template provided, prepare communication protocols in line with the instructions from Gavin Stead and the feedback received from Division Managers. You must consider the following:

  • A procedure/protocol for dealing with in-coming telephone calls and ensuring that all calls are forwarded to employees and followed up
  • A procedure/protocol for team communication to ensure that all teams maintain effective communication while working remotely

All sections of the template must be completed.

Scenario: Feedback from the Divisional Managers

After emailing the division managers, you have received the following feedback regarding team communication needs and objectives:

  • A lot of our sales come in as phone enquiries. We need to make sure that we get those messages immediately and that none of those messages get lost. I think we need to have a register of calls so we can make sure that every message gets followed up. Rebecca Jones should be responsible for coordinating this.
  • We usually have a weekly team meeting so that everyone knows what is going on and we keep focused on team goals. I would like to keep that going. I'm not sure it will be enough though given a lot can happen in a week.
  • I want to make sure everyone is sticking to the plan on a daily basis. We usually work in the same space so we will need to make an additional effort as a team to keep on task. I think we need some daily communication as well as our normal weekly team meeting. Also, I have a hearing impairment, so I need to be able to lip read during any verbal discussion.
