Pairs Assignment: Sales Information Package
Your pair (2 people) will be developing a sales information package. In lecture we will discuss the different components of a sates information package and how to best present your product in written format.
1) Overall style & design (aesthetics)
2) Completion of components
3) Accuracy, detail, and relevance of information
4) Peer evaluation
Product
Your team will develop a package to showcase a hospitality or tourism product of your choice. The product must be developed from your imagination, not an existing property or organization.
Components for Submission
• Folder Cover - you will need to 'design" the front and back
• Business Card - name(s) and job title will be fictitious
• Specifications Sheet
• Brochure
• Meeting Package
• Menus - Banquet menus only; include options for breakfast, lunch, dinner and reception
• Local Information & Attractions sheet
Folder Cover
Purpose: to hold the marketing contents of your product I service while presenting a professional image; can be used for a variety of purposes (sales kit, PR kit, presentation materials, etc).
Information contained in the kit can be replaced and updated on an as-needed basis.
Typically is a pocket folder which measures 0 by 12 inches and includes one or two 4-inch pockets on the inside. One pocket includes slits for a business card.
Design Notes:
• Should convey a strong company image with the company logo and, sometimes, slogan
• Overall, should be simple in visual aesthetics; not "busy"
• Should be generic so that it can be used for a variety of purposes and over an extended length of time (ideally. one year or longer)
• Colours should match company theme colours
Business Card
Purpose: a quick and simple marketing piece to provide your contact information for future reference; not intended to "sell you or your company"
Design Notes:
• font type should be simple and large enough to read from a "glance": limit to two font types
• use bold, capitalized, and italicized text sparingly
• overall design should be clean and uncluttered; match with your letterhead and other marketing materials
• logo must be on card
• Size is 3 1/2 by 2 inches
• Can be double sided
• can horizontal (most popular) or vertical
Copy:
• Usually contain a person's name. business name, title or description of the work they do. and contact information, such as a phone number, address and/or email address.
• can include a benefits lint or slogan
• name is most emphasized area on card
Specifications Sheet (Fact Sheet)
Purpose: a quick, "al-a-glance" overview of your product offering; focuses morc on details (facts / specifications) than on marketing verbiage
Design Notes:
• Typically S3/ x II in size
• Double sided
• Pictures included
Copy
• Area or location map
o Map may include other nearby points of interest
• Contact information: address, phone & fax numbers, email, website, brand information
• Room or Product Types: Standard. Deluxe. Business etc (applicable for airlines. cruises. hotels. etc)
• Room or Product Amenities: Bathrobes, Complimentary Beverages, Free newspapers, pillow menu. etc
• Hotel or Product Amenities and Services: pool. business centre. 24 hour concierge. lounges.
restaurants, meeting space, health centre, kids area/activities, entertainment, parking, etc.
• Programs Unique to Company: Rewards. Meeting, Kid/Families, etc.
• Company or Product Awards
• History (if a unique or rich story)
• Environmental facts / practices
Brochure
Purpose: a promotional piece used to provide guests with information about your product service mix; often includes upcoming events or a special promotion making its shelf life limited but not duplicating the specifications sheet
Design Notes:
• cover should be used to convey primary selling message (positioning statement or slogan) and capture the attention of the potential buyer (eye catching)
• location address should be written on front or back
• a map should be included to indicate location and surrounding area
• other basic information to include: website address, phone number, chain affiliation (if applicable)
Copy:
• Should talk to the customer at their level
• State important benefits directly
• Avoid cliches
• Promote an event, special offer. promotion, new renovation. additional features. etc
Photographs:
• Activity pictures are more useful than facility pictures
• Food should be displayed as finished product
• Pictures need to relate to associated copy
Meeting Package
Purpose: to grow new and repeat business in the meetings market by providing a complete, "ready-to go" package: can be helpful with additional revenue to the bottom line
Design :Votes:
• can be presented in a variety of formats: brochure (6 panel or rack card). full page. booklet. etc
• depending on formal, can include similar information from spec sheet to act as a -stand alone" piece
Copy:
• should include company name and contact information
• focuses on package details
• should convey perceived value to the client
• include prices / rates
Local Information & Attractions
Purpose: to attract potential clients to your company by informing them of other areas / activities / attractions etc that arc nearby; gives the client a sense of what can be done during any free time; adds value to the trip
Design Notes:
• can be in any format (standard page. brochure. rack card. etc)
Copy:
Can include any or all of the following:
• Transportation methods: air, rail, shuttles, rental cars, taxis, limousines
• Directions to product or company
• Nearby convention centres
• Popular attractions
• Landmarks
• Nearby restaurants (but only if your product dots not have any!)
• Entertainment venues
