Assessment 2 - Project 1 - Develop workplace sustainability policy
Scenario
Tip Top Cleaning is a cleaning services company that provides cleaning services in Melbourne.
Part A: Develop a briefing report on sustainability
Review the information provided in the scenario, conduct independent research on the internet or any other information sources you may deem appropriate.
Then, develop a briefing report for the sustainability program. The briefing report should cover the following points. Use the points below to create subheadings for your report.
• Purpose of the briefing report
• A brief introduction of the topic, its history and its relevance to the business and the industry
• A brief description of benefits of sustainability for Tip Top Cleaning in realising their business goals
• Scope of the sustainability program - whether it is for the whole organisation, one site, one work area, or a combination of these
• Examples and brief summary of sustainability policies by at least two other similar organisations
• A brief overview of the applicable environmental and sustainability legislation, regulations, codes of practice and standards
• A brief exploration of how sustainability initiatives can be introduced in the organisation, through reference to any three standards, guidelines and approaches such as:
o Green purchasing
o Green office program
o Triple bottom line reporting
o ISO 14001:2015 Environmental management systems
o Life cycle mapping processes
• Suggestions for at least two performance indicators that can be used to measure the performance of each action post implementation
• A brief description of monitoring and review activities for continuous improvement to ensure effectiveness the sustainability initiative

Part B: Obtain expert advise
Scenario
You have prepared the briefing report and would like to obtain expert advice from external consultants and key stakeholders.
1. Prepare a formal covering email to Alan Greenbush of Green Gurus (your assessor) and attach the briefing report on the sustainability policy development program.
In your email you must:
a. Summarise the main points of the briefing report you have developed
b. Request the consultant to review the briefing report and provide feedback
c. Request the consultant for a meeting to discuss the briefing report
You must use an appropriate format and formal and grammatically correct language appropriate to context, organisational requirements and the audience
You must submit your briefing report to the consultant (your assessor) by email, at an email address specified by your assessor.

Part C: Role play - Consult stakeholders
Scenario
You are the Operations Manager of the company.
Green Guru is a sustainability education and consultancy service.
You have decided to get their advice on the green measures that your change management plan intends to implement.
You have organised a meeting with Alan Greenbush, a consultant from Green Guru, to provide consultation about suitability of the sustainability measures you have identified in your briefing report from Assessment 2, Part A.
You have also invited Tip Top Cleaning's CEO, the Finance Manager and a staff representative.
All members playing the roles will receive cue cards to prompt them.
Task
• You must play the part of the Operations Manager and to present the briefing report for discussion to the senior management team.
• Your assessor will play the role of the external consultant.
• Your classmates will play the roles of:
o CEO
o Finance Manager
o staff representative
• Your assessor will organise other members of your class to play the roles of management and staff, and provide them with cue cards and briefing prior to assessment, to guide their participation in the assessment.
• You must refer to the information about Tip Top Cleaning, available in the scenario Assessment 2- Project 1) to prepare for this meeting.
• Prior to the meeting, you must make sure each person has a copy of you briefing report.
• The aims of the consultation/discussion are:
o To gain expert consultation on the suitability of the proposed measures for the organisation's objectives.
o To gain the acknowledgement of the senior management if your proposed plan could proceed ("go/no-go" decision)
• You must be prepared to seek their opinion and advice and also respond to concerns of the company managers.
• At the end of the session you are to ask your audience to acknowledge their support for your plan and discuss any issues or provide clarification.
• You must make detailed notes during the consultation session submit detailed notes to your assessor.
• You will be assessed on your ability to:
o Present the information covered in the briefing report
o Seek the advice of the expert using language appropriate to audience
o Elicit the views of the attendees
o Clarify or confirm your understanding of input provided by the stakeholders

Part D: Develop a sustainability policy and implementation plan
Scenario
The CEO has approved the briefing report.
Now, you are to develop a formal sustainability policy and a sustainability action plan to implement the policy and procedure. Once the two documents are prepared, you are to prepare a covering email for the CEO and attach the two documents to the email for the CEO's approval.
Task
1. Prepare a formal sustainability policy to support the attainment of the organisation's agreed sustainable goals for:
- minimising resource use
- resource efficiency
- reducing toxic material and hazardous chemical use
- employing life cycle management approaches
- continuous improvement
You must include a policy statement about Tip Top Cleaning's commitment to sustainability, as well as the role sustainability considerations will play in all business activities and strategic plans.
In the policy document, you must also:
- define key terms such as sustainability and sustainable procurement
- identify six strategies to implement policy
You must use your briefing report and the feedback collected during the consultation with the stakeholders in Part C, to develop the policy.
Use the Policy Template provided in Appendix A.
2. Prepare a Sustainability Action Planto implement the sustainability policy. You must plan at
least two actions for each of the areas below:
• management and communications
• education for sustainability
• purchasing choices to reduce toxic material and hazardous chemical use
• energy
• waste
• water
• monitoring, review, and continuous improvement
The action plan must cover the following for each action:
• expected outcomes
• activities/ actions to be undertaken
• performance indicators
• assigned responsibilities
• record keeping, review and improvement processes
You must use the Sustainability Implementation Plan Template in Appendix B.
3. Prepare a formal covering email to the CEO (your assessor) and attach the sustainability policy and the sustainability action plan you have developed.
In your email you must:
• Summarise the main points of the Sustainability Policy and Procedure and the Sustainability Implementation Plan you have developed
• Request the CEO and the management team to review the policy and procedure and action plan and provide feedback and approval.
You must use an appropriate format and formal and grammatically correct language appropriate to context, organisational requirements and the audience
You must submit your covering email, policy, and Sustainability Action Plan to the CEO by email, at an email address specified by your assessor.
Assessment 3 - Project 2 - Communicate and implement workplace sustainability policy
Part A: Role play - Communicate workplace sustainability policy
Scenario
The CEO has approved the sustainability policy and action plan, and has given you approval to go ahead with the implementation of the sustainability policy and plan.
As a first step, you are to promote the policy to the staff. You are also to explain the roles and responsibilities of those involved in implementing the policy about expected outcomes, the activities to be undertaken and the time frame for implementation.
Task
1. Prepare a PowerPoint presentation of the key points of the sustainability policy and action plan, to present to the staff at Tip Top Cleaning.
You may prepare and use no more than presentation10 PowerPoint presentation slides during the presentation.
2. Make your presentation to the staff members. The presentation must no longer than 15 minutes.
During the presentation, you must:
• use the PowerPoint slides you have prepared to explainthe key features of the sustainability policy, such as the background, the benefits to the company, the policy options selected, etc.
• explain the sustainability action plan allocate responsibilities to staff for activities to be undertaken
• encourage the participation and support of the staff
• speak clearly and concisely
• respond to questions asked by the staff members
• play a lead role in consulting and negotiating the buy-in of the staff
• use appropriate non-verbal communication
• participate in discussions using listening and questioning skills to ask the staff members for their opinions or clarify or confirm your understanding.
This is a role play. You must play the role of the Operations Manager. Your assessor will organise volunteers to play the roles of the staff members who will be your audience.
Your assessor will record and assess your work using the Role Play Observation Checklist below.
Prior to the assessment, read the Role Play Observation Checklist to identify the standard of performance expected of you in this task.
Part B: Implement strategies for continuous improvement in resource efficiency
Scenario
The CEO is satisfied with the implementation plan you have developed and implemented. Now he/she has asked you to implement strategies for continuous improvement in resource efficiency.
The CEO has briefed you about the requirement to be prepared to handle the demand and meet the requirements of internal and external customers in the COVID 19 situation, to meet the requirements of the increase in demand for services, as well as increased competition from other companies.
Task
1. You are to develop a Continuous Improvement Action Plan to implement at least four (4) of the recommendations for resource efficiency measures made by the external consultancy in their report. You must use the Continuous Improvement Action Plan Template provided in Appendix C, which provides one example for your guidance.
Your Continuous Improvement Action Plan must include:
• the recommended improvement
• the strategy you propose
• the action required for implementing the strategy
• the person responsible for recording systems to track continuous improvements
• the timeframe for completion
• progress
2. Prepare an email memo to all staff to communicate the Continuous Improvement Action Plan you have developed.
In the memo, you must:
• advise the staff that the continuous improvement action plan is ready for implementation
• request the staff to review the action plan and provide feedback or suggestions.
You must use an appropriate memo format and formal and grammatically correct language appropriate to context, organisational requirements and the audience
Submit your email memo and Continuous Improvement Action Plan all staff by email, at an email address specified by your assessor.
Assessment 4 - Project 3 - Review workplace sustainability policy implementation
Scenario
This is a continuation of the scenario in previous assessment tasks.
Assume that the Sustainability Action Plan extract provided in this task is what you had prepared for Tip Top Cleaning.
It is now six months since you implemented the Sustainability Action Plan, and time to monitor the achievement of milestones, against the planned timeframe.
You have access to the following documents below:
1. Extract of the progress report on Sustainability Action Plan
2. Extract of results of the staff climate survey
3. Informal feedback received from staff
4. Minutes of recent manager's meeting
1. Extract of the progress report on the Sustainability Action Plan that was implemented 6 months ago.
2. Extract of the results of a staff survey to gain insight into staff attitudes and responses to the company's sustainability measures.

Task
1. Prepare a progress report for the sustainability implementation project after reviewing and analysing the following:
• the implementation plan progress report data and achievements against targets
• Extract of the staff survey results and informal feedback

In your report, you must comment on the following:
Your report must be no longer than 400 words, and should be written in a formal report style, with findings and analysis, conclusions and recommendations.
2. Modify the Sustainability Action Plan you have previously prepared to include the changes
/ improvements you are suggesting. You must modify only the section of the implementation plan provided to you in the scenario (the revised Sustainability Implementation Plan must be based on the template in Appendix B).
3. Prepare a covering email to the CEO (your assessor) and the senior managers, summarising the findings and recommendations, as well as the proposed modifications to the sustainability action plan.
Attach the report and the modified sustainability action plan (only the extract given in the scenario) to your email and submit it to your assessor at an email address specified by your assessor.
