Part 4: Meeting (Role Play)

Now that you have developed your team performance plan and your policy, you must consult with your team to gain consensus. In this task, you will be required to conduct a 15-20 minute meeting in which you will demonstrate how you will communicate with your team, based on the scenario below.

A: Meeting role play

You will be required to facilitate a meeting to consult team members on the preliminary team performance plan (Task 2). As part of your meeting preparation, you need to review the team briefing provided by Tobias Ukestock (Appendix 1). This will provide you with relevant information on how to effectively communicate and manage the desired outcomes of the meeting. Make particular note of the challenges that have been identified in the team brief to mitigate potential conflict and encourage participation.

When planning for your meeting, you will need to ensure that you review the observation checklist, which highlights critical aspects you need to demonstrate during the meeting that your assessor needs to observe.

Your meeting can be conducted in your workplace, suitable venue or an online environment such as MS Teams, Adobe Connect or another medium. You may use a mobile device or other equipment to record your meeting.

Note: For the demonstration of practical skills, the student must confirm their identity by holding up photo identification, such as a driver's licence, to the camera at the beginning of each practical demonstration to confirm that the student performing the task is the student enrolled.

You are encouraged to rehearse the meeting before completing the assessment.

You will need to arrange three participants to assist you in this role play. Each participant will be required to take on one of the following personas.
Meeting participants:

You: Leader customer experience.

Participant 1 Account manager (Alex Muir). Alex Muir. Alex is opinionated, self-assured and believes that her opinion will provide the best outcome. She is reluctant to hear other people's views, including her manager, and will often interrupt a meeting to ensure her view is dominant. She often demonstrates hostile body language in meetings when she doesn't agree with the discussion.

Participant 2: Travel Consultant - Lee Tan. Lee has been with the organisation since its inception and would like to see change occur. She has good ideas however she is reluctant to voice these as she is intimidated by the strong personality of Alex Muir and often agrees with her to avoid any conflict. She is often quite passive in meetings.

Participant 3: Customer Contact Officer- William Bent. William is an efficient worker in the Customer Contact crew. He is assertive with a strong moral code and doesn't like to see other people pushed around. He particularly doesn't like the way that Alex Muir dominates the Accounts crew.
B: Communication Email
After the meeting.

Using the email template found on the Plan2go website (Found in the Plan2go Document library/Crew-Folders/People-and-Culture-Crew/Promo-Crew/Templates), draft an email to Tobias Ukestock (Leader People and Culture) seeking approval for the investment required to endorse the formal learning opportunity you have proposed in the team performance plan.

This is also a good opportunity to communicate any unresolved issues, concerns and problems raised as a result of the meeting and your proposed solution/strategy.

Part 5: Critical reflection

This critical reflection must be a descriptive, analytical, and critical assessment of your experiences in Parts 2, 3 and 4.

Evaluate how group dynamics helped or hindered the team's performance. Your response should be approximately 100-200 words.

Evaluate the strategies you used to support team cohesion, participation and performance. Your response should be approximately 100-200 words.

Justify the strategies you used to gain consensus. Your response should be approximately 50 - 100 words.

Evaluate how you supported the team to meet expected performance outcomes, including providing formal and informal learning opportunities as needed. Your response should be approximately 100-200 words.

Evaluate the strategies you established to resolve performance issues. Your response should be approximately 100-200 words.

Explain how you develop policies and procedures to ensure team members take responsibility for their work and assist others to undertake the required roles and responsibilities. Your response should be approximately 150 - 200 words.
