Festival of Trees
Instruction
Culminating group project where students work on a hypothetical event in Kingston (Festival of Trees). Students will apply concepts of event planning into final project.
Instructions- Please read and follow all 10 steps carefully
1. Get into groups of 4-5 people
2. Register your group members in the MS Excel Document
3. Now, consider this scenario:
You and your group members work for the University Hospitals Kingston Foundation. Your job is to organize a Festival of Trees, which is a series of week-long Christmas Chemed events in November/December (event date is up to you). Your goal is to raise $50,000 for the health foundation which will allow hospitals to purchase new
equipment for the community. Use your knowledge from this course to develop the following plans (pretend that COV1D-19 is not a threat to your event**):
4. Establish your FOT Event Concept/Plan & Event Budget
a. See my template as an example (on BB)
b. Budget should be well detailed with line items, expenses, and revenues
5. Develop a Sponsorship Package for businesses/donors to contribute cash and/or vik a. Hint: sponsorship goal should be included in your revenues
6. Develop a Risk Register
a. Follow the 5 Steps of Risk Management and identify 10 risks for the event (legal, financial, safety and security, etc)
7. Develop an Organizational Chart
a. Your group members are the organizers of the event (consider the different functions that are required to plan this event)
b. See Week 6 - Slide 20 as an example
8. Create a letter inviting the Prime Minister to your event
a. Include dress code, speaking opportunity, length of speech
9. Part 1: Submit all of the required written documents in one pdf, with the names of your group members.
10. Part 2: Your group will no longer present virtually to the class. The presentation will include 3 components of your written submission (Event Concept, Budget, and Sponsorship Package)
