Assessment Task 2 Instructions
You are required, as the senior project manager for Milcom, to develop a project management plan for their client, Demo Build Australia. You will be provided with a range of documents to assist you in your work.
This assessment is to be completed in the simulated work environment in the RTO.

Carefully read the following:
You are a Senior Project Manager of Milcom, which offersitions services to a wide range of Information and Communications Techology/Telecommuncations services to businesses of all sizes.
One of your clients is Demo Build Australia, a client based in Sydney. You have completed a number of different Projects for them over the past year. The CEO has been in contact and would like Milco to help them with their telecommunications requirements for two different sites, one being their display home in Brisbane, and the other being their new head office building.
Your next job is to develop the project plan so your team and those at Demo Build have a road map to the project.
Complete the following activities:
1. Review and asses the requirements of the project.
Read the following documents to familiarise yourself with Demo Build's needs:
• Demo Build Telecommunications Requirements
• Demo Build Floor Plan (new office floor plan showing locations of staff/departments)
• Demo Build Organisation Chart
• Demo Build Strategic Plan
• Demo Build Project Brief
Assess the information in these documents and begin to formulate whatyou and your team will be doing, and what you will need.
2. Develop project management plan.
Use the Project Management Plan template and complete the following sections to begin
• Project overview
• Objectives
• Scope
• Assumptions, constraints and risks
• Deliverables
• Roles and responsibilities
• Legal and regulatory requirements
• Risk management plan (ensure you evaluate aspects such as physical safety, electrical safety, manual handling and working at heights, as well as risks related to faults, equipment failure and team performance).
You do not need to complete anything regarding procurement, schedules or budgets at this time, you will do these later in this task.
3. Develop a work breakdown structure (WBS).
This task will require you to meet with Jen, your networking specialist (role played by your Discuss the work to be completed for this project.
You will need to talk about the following:
• solutions to be implemented for the project
• types of equipment and resources to be procured
• training requirements
• preferred network topologies.
All of this information will help you determine work activities and resources to be procured.
Using the documentation at activity 1 of this task and the information you have documented in your project management plan so far, work with Jen and break the deliverables into tasks and work packages.
Take notes about what you discuss.
You can sketch your WBS in a notebook, use Excel or a project management application if you have access to one (for example, there are many applications that allow you to sign up for free and access limited functions).
You can fine tune the WBS after the meeting if you need to.
Copy your WBS into the Demo Build Project Management Plan, under the 'Project Schedule' heading.
During the meeting, you will need to demonstrate effective communication skills including:
• Using active listening techniques
• Using a range of questioning techniques to seek ideas and information from Jen
• Communicating with Jen in a professional manner
• Speaking clearly and concisely, using paraphrasing and other techniques to confirm understanding.
Save your draft plan.
4. Estimate project effort and duration.
You are still meeting with Jen. Use your WBS to go through the project activities required and identify the following:
• Optimistic estimation of each activity (best rase scenario)
• Pessimistic estimation of each activity case scenario, considering constraints and faults/issues
• Most likely time best
• Dependencies
• Who will do each activ
• Resources required fc ictivity.

• Communicating in a professional manner
• Speaking clearly and concisely, using paraphrasing and other techniques. After the meeting, work out the task estimation by using the PERT formula: Estimated time = (Optimistic + (4 X Most Likely) + Pessimistic)/6
You can do these calculations in an Excel spreadsheet or similar program. Save the file a Demo Build Project Time Estimates.
5. Develop the project schedule.
Use the information you gathered at activity 4 and your WBS to create a Gantt chart. provided or information.
You can either use a spreadsheet application, use the Gantt Chart template use project management software if you have access to such

When you have completed the Gantt chart, copy it into the Project Management Plan under the heading 'Project Schedule'
6. Develop a training plan.
Document the training requirements of yourproject team in the Training Plan.
Use the Internet to find a suitable local provider for the relevant licences that will provide training over two days.
Choose a course date that is suitable as per your project timeframes.
7 Determine project procurement requirements.
It's now time to determine the resources required for the project. Evaluate your project documents and identify all equipment that needs to be added to the plan in the table under the 'Project Procurement Plan' heading.
At this stage you do not need to be specific about the items to be procured
. You can
simply add information such as the following:
Server: X qty

Judith, the CEO, has been in touch and asked you to work out the cost of leasing a server and the cost of purchasing one outright. Undertake some research and evaluate nnt ions to determine which is the most cost-effective, taking into consideration what Add the outcomes of your research underneath the heading 'Server optioi management plan.
Save your draft plan.
8. Estimate project costs.
Refer to the Procurement Plan to assist you.
For the purpose of this assessment, you will need to budget the following direct costs using the bottom-up estimation method.
• All equipment and resources required
• Travel expenses
• Cost of project team members, including yourself:
o Yourself: $150 per hour
o Roy: $95 per hour
o Martha: $95 per hour
o Jen: $95 per hour
o Brad: $75 per hour
This step will be lengthy and will require you to do some research to locate the resources you need and determine average costs and quantities.
You can use a spreadsheet or any other preferred approach that will allow you to document and accurately calculate costs.
Save this file as Demo Build Cost Estimation.
9. Develop project budget.
Using the cost estimation gathered above, accurately document and calculate all costs to develop the project budget. You can use the Demo Build Project Budget spreadsheet or you can create your own. Note that you will need to include formulas as relevant to provide accurate totals.
Save your budget as Demo Build Project Budget.
10. Discuss project roles and requirements.
Your assessor will put you into small groups to reflect the project team. Each person will
be assigned a role. Your assessor will play the role of one of your team members.
The purpose of this meeting is to discuss the project at hand and make sure your team is
aware of what they are to do and when to do it. Your team may have some further information that needs to be considered.
Share with your team that you have just learned that Roy is being removed from the project due to other business commitments. Martha will complete his work as she has the skill set required; this will also be a great learning opportunity for Brad.
Remember that Brad is a new, junior member of the team. This is Brad's first major project with Milcom, so ensure you make him feel welcome.
During the meeting, you will need to demonstrate effective communication skills
including:
• Using active listening techniques
• Applying communication techniques to encourage team engagement and develop rapport
• Making sure the meeting remains on track and all team members behave
professionally and treat each other with respect.
11. Develop project verification document.
Develop a document that will provide the Demo Build project board/committee (Judith
and her Operations Manager, Ishtar) with an outline on how you will ensure that the following processes will be controlled/quality managed:
• Budget
• Schedule
• Project team performance
• Testing
• Legislative and regulatory requirements.
Save this document as Demo Build Verification Document.
12. Produce draft plan.
Review your project management plan and complete the following:
• Transfer your budget into the plan under the 'Project budget' heading.
• Review the risk management section and make sure you have addressed all risks.
• Make sure that you have addressed all feedback and information provided at the team meeting and updated project documentation as required.
• Check for any errors (spelling, grammatical etc) and address accordingly. Save your draft plan.
13. Submit draft plan to the CEO.
Write an email to Judith Lee (your assessor), presenting your draft plan for her approval.
Include in your email that you will meet with her to discuss her feedback and make changes as required.
The text of the email should be in grammatically correct English, written in an appropriate (polite, business-like) style.
