Case Study: you are responsible for planning an entire virtual event. The event is a Product Launch. You are responsible for planning the launch of a new app that will revolutionize the Human Resources world. The product -for the sake of the project - will be called HR-Connect. You need to plan for a virtual event platform that will accommodate up to 1,500 people, connecting from different parts of the world. What do you need to do?
Question 1: Determine the goals of the event and explain them in detail. You can use bullet points for this, but please be detailed. The goals and objectives are essential in event planning because you need to know what it is you intend to accomplish. ("why")
Question 2: Explain the advantages and disadvantages of using a virtual platform for the launch of the product. (you can use a table with two columns).
Question 3: Develop a detailed communications strategy, including PR and a social media campaign. In this, please include a schedule of posts based on the fact that you have 6 months before the event. Include examples of posts for each of the following social channels: LinkedIn, Instagram, YouTube (1 example for each channel). I explained these when reviewing chapter 8, and also mentioned it heavily in chapters 5 and 6. Please remember that the target of this is HR professionals.
Question 4: Investigate, explore and select the virtual meeting platform that is going to be used for this event. Explain your reason for choosing this platform.
Question 5: Provide an outline for the day of the event. This event should be between 45 minutes to 90 minutes, during which there is an opening, presentation of how "we got to this product", the product itself and the solutions it will bring. You can provide time for Q & A. Please be very detailed with the outline. We have discussed extensively how important it is to have as many details as possible to have a flawless event.
Question 6: Conclude the project by providing an strategy of what will be done after the event, to say thank you and to survey the attendees for feedback. We have also talked extensively about this aspect. Make sure you consider all the reasons for the follow up and all the potential opportunities you create in the case of a product launch. Make sure you connect these post-event activities with the goals and objectives and demonstrate how you will determine the ROI.
