CASE ONE : TRAINING FOR TEAMWORK. (Subject Training & Development)
Aizah Amran was really becoming to hate the second Wednesday of each month. This was the day of the monthly status briefing of the Special Operation Review committee. Aizah sat at the head of the conference table, looking out at the other buildings surrounding her office. As head of the committee, Aizah was always first to be in, waiting for the other members to arrive. She dreaded the moment when everybody has arrived, and tension began to mount. However, things had not been like this in the beginning.
When the Special Operation Review committee had been formed four months ago, she was very proud to be appointed the head. With the competitive pressure on the business growing for some time, top management was really keen on finding ways to improve productivity and Aizah was honored that she was chosen to head one of the initiatives. Thus, the committee was formed comprising of people from auditing, finance, operation, marketing, human resource, and technical department in the company.
She looked up as the other members began to arrive and found herself began to tense up. Her gaze fell on Shaun Balan, sitting in his usual spot at the far corner of the room. From the beginning, Shaun has made it clear that he did not want to be part of the committee. He commented loudly that he has better things to do than be part of some 'lame committee'. He would show up late, play with his handphone during the meetings and do other things to signal that he hated being there. Unfortunately, being one of the best finance people, Aizah realized that Shaun has some important insight and experience that he can share and contribute to the committee.
Aizah looked at Fatin Hamid who is chatting with Sharmila Sekaran. Fatin is from Human Resources and has been in the company for more than 10 years. Fatin biggest asset was her vast knowledge on personnel issues that will affect the committee's work, but her biggest weakness is that, once she has started talking, she refuse to let other people to question her and will continue to talk at length, sometimes on things not related to the discussion and people are beginning to get annoyed at her.
Then, there was Sharmila Sekaran from operation. Five months ago, Sharmila was promoted to Assistant Manager. This has caused a feeling of animosity from another committee member, Budi Hermawan, also from operation. Budi felt that as a more senior staff, he should be the one promoted, not Sharmila. And now these two people on Aizah's committee are always trying to make the others look bad and refuse to cooperate with each other.
Finally, there was Mei Lin, the marketing manager, who was sitting at the other end of the table. Mei Lin felt that she should be the one heading the committee, not Aizah. So, she often tried to take control of the meeting, making her own agenda, and always questioning Aizah even on trivial matters. Everyone knew what Mei Lin was doing and how her behavior is affecting the committee's work.
Aizah was becoming very concerned with the committee's progress. Some key tasks are lagging, and a few are working not in tandem with the committee's objective. It is now November 2022, and the committee is supposed to table their final plan of action and recommendations for the company's new work system by first week of January 2023.
Aizah approached the Director of HR, Faiz Azhari to voice her concern and seek intervention as it is very vital that the committee delivers their work as planned. Faiz proposed that the committee seek the management's consent to go on a teambuilding session, preferably to a more conducive and peaceful environment like in Bukit Fraser or Cameron Highland for 2 days 1 night to get the team to get into the spirit of working together.
REQUIRED:
Assume that the management agrees with Aizah's request to go on a breakaway session with her team but has ordered Faiz to design a one day 'teambuilding' session to help the committee member re-focus on their task, to help foster a better working relationship, improve communication, and get everybody committed to achieve the committee's goal.
Using concepts that you learned in this course and other HR courses, develop an outline for a training / teambuilding session. For this purpose, prepare the following documents: (See your textbook for samples - refer to Chapter 5 on Program Design)
1. A complete Design Document with proper explanation and details.
2. A Detailed Lesson Plan with elaborations
3. An Evaluation Form to assess the outcome of the teambuilding session to see whether the objectives have been achieved.
