ASSESSMENT TASKS

Task 1 - Written responses

This activity has been designed to assess your knowledge and understanding of managing project integration within projects.
This task consists of questionnaires which reflect the knowledge of project management (PMBOK). The responses should include the following:
• Must be relevant to your project as stated in BSBPMG511 Manage Project Scope, unless otherwise stated. Responses should link to the theoretical aspects of project integration management followed by relevant experience / exposure of your nominated project you recently or are currently working on to progress both your studies and your projects simultaneously. Your response to the questionnaires must relate to the same project topic chosen for BSBPMG511 Manage Project Scope subject unit.
• However, if you have started with this subject topic as an initial attempt of this course, you must negotiate and discuss with your Assessor to consider a project that you recently or are currently working on or a project that you have worked in the past.
• If workplace project exposure does not apply to you, you must negotiate with your assessor to use a scenario/case study examples that you will find on e-learning. However, case study examples are a suitable substitute where workplace examples cannot be provided. Case studies are available on e-learning. Theory answers without reference to your experience will not be assessed as satisfactory
• Demonstrate that you can or have applied what you have learnt to your project, regardless of whether you have undertaken all the performance requirements in your workplace

Task 2 - Portfolio of Evidence, Project Report and Presentation

The portfolio of evidence, project report and presentation comprise the assessment of the application of your project integration knowledge. You will need to demonstrate your integrationmanagement skills applied to a project which is based on the project you have chosen for BSBPMG511 Manage Project Scope subject unit. It should state relevant experience / exposure of your nominated project you recently or are currently working on to progress both your studies and your projects simultaneously.

If you have started with this subject topic as an initial attempt of completing this course, you must negotiate and discuss with your Assessor to consider a project that you recently or are currently working on or a project that you have worked in the past.

If workplace project exposure does not apply to you, you must negotiate with your assessor to use a scenario/case study examples that you will find on e-learning. However, case study examples are a suitable substitute where workplace examples cannot be provided. Case studies are available on e-learning.

To such a degree you must negotiate with your assessor to use a scenario/case study examples that you will find on e-learning.

Your nominated project must be agreed between you and your Assessor so that its methodology, tools and techniques accommodate to the performance requirements of each Unit of Competency prior to start of work on the unit.

Task 2 consists of multiple activities that are required to be completed. You must ensure to complete all activities to achieve integration management competency. Completion of all these activities can assist you to gain the competency level that are required to perform the duties of project reporting and final project presentation executed by a project manager.
In that manner, project reports which includes project closure report and final project report and also the presentation of the project must be attempted. The closure report ensures the documentation all of the tasks needed to complete your project including the objectives have been met and hand over the deliverables to your Stakeholders. This activity must be completed by a Project Manager to gain agreement from their Sponsor and that the project is ready for closure. Once approved, the Project Manager can proceed with the movementsdesired to close the project promptly.

On other hand, the final projectreport demonstrates your comprehensive knowledge on how you document theoverall outcome of the project fostering appropriate integration of all the 7 units/knowledge areas of project Management you have demonstrated through this course. It aims to create the roadmap for the Sponsors or the project initiator to consider business long term providing opportunities to build new goals and expand ideas. The foundation for quality, value, traceability, and history for the entire project documentation should be considered. It must be noted that reports communicate information that are compiled as a result of research and analysis of data and of issues. It focuses on transmitting information with a clear purpose, to a specific audience.

Participating the presentation of your nominated project is a must, as it can clearly demonstrate one's capability of being exposed to the role of a Project Manager through a realistic staging in which you would deliver your nominated project.Project Managers are expected to have explicit industry knowledge, strong communication skills, and top-notch quantitative abilities to deliver an effective presentation. The purpose to deliver this presentation should foster an impression of your overall findings, facts and data and the execution of integrating all core knowledge areas. You aim to deliver the message to the audience declaring the inclusive outcome of your project, which could be the success of the project with the intention to expand business, or failure of the project with evaluation reports and recommended approached for improvements or could be to present a full prototype completed project plan and execution strategies seeking approval for initiative for start-up.

To support this activity,you would imply your conclusionsby looking for innovative approaches to dispense to your nominated projectto ensure path to success. Without taking part in the presentation, will be deemed as incomplete task resulting "Not Competent". Also, you must score the pass mark of the Presentation by itself to be considered "Competent" for this subject

Your project must comprise:

• a comprehensive, detailed and integrated project management plan
• a formal communicationplans
• a devoted and project-based budget
• formal and planned involvement with a wide range of stakeholders
• a documented risk, issues and change-management methodology
• a quality plan with assurance and control processes
• a project team-based environment.

Evidence of the following is important:

• demonstration of integration management for several complex projects
• knowledge of integration management plans, tools, issues and likely challenges

Question 1:Describe why the project management plan is essential to the success of the project. Choose one of the 8 PMBoK Guide® knowledge areas and describe the likely outcome if it was not considered during planning.

Question 2: What are the 3 (three) main objectives of integrated change control?

Question 3: Describe how you have developed project plans, monitored project performance against those plans, and reported project outcomes for projects within your workplace.

Task 2 - Portfolio of Evidence

You must use the same project for all units in this course and must be relevant to your project as stated in BSBPMG511 Manage Project Scope, unless your nominated project changes during the course or cannot adapt to the performance requirements of any of the units of competency. If either or both events occur during your course, you must contact your assessor to find out what you need to do to continue to satisfy the course performance requirements and achieve competency.

The project must be in an organisation, business or you are operating as a consultant.

Your nominated project must have:

• a comprehensive, detailed and integrated project management plan
• a formal communications plan
• a dedicated and project-based budget
• formal and planned engagement with a wide range of stakeholders
• a documented risk, issues and change-management methodology
• a quality plan with assurance and control processes
• a project team-based environment.

A. Establish the project

A1. Develop a Project Manager Role Checklist of your nominated project as stated in BSBPMG511 Manage Project Scope. You may use the suggested checklist template provided below or any appropriate workplace checklist template of your choice to check on aspects of your role as a project manager.

A2.Provide a Project Charter to initiate your project. Provide the information in the template given below.

B. Project Planning and design process

Through the development of a project management plan, it designates the essential tasks that is to be undertaken and also states the motivesbehind such tasks. It fosters to plan, deliver and monitor the scope, time, cost, quality, human resources, communication and project information, stakeholder management, risk and procurement management plans which are evaluated an integrated manner according to the governance arrangements.

This can be is validated by regularity across all stated areas mentioned above where the information from one area is utilised as a source for another, for example, timeframes provide part of the foundation of budget estimates.

B1. Answer the following questions to demonstrate your understanding of undertaking project planning and design process:

Your answer should include any standardised guidelines, work instructions, proposal evaluation criteria, performance measurement criteria, change control procedures, historical information and lessons learned.(

Question 5: How was the integrity of your chosen project baselines to be maintained throughout the project life cycle? Who was responsible for this work?

Question 6: Provide details of how approval would be obtained for the project management plan.

B2. Consider your nominated project that you are managing or have managed as stated in BSBPMG511 Manage Project Scope. Develop a detailed outline of a conflict situation that threatened project progress, by completing the table below.

What could you have done differently at the beginning of the project to lower the chance of this conflict occurring?Provide at least 2 data

C. Executing project in the work environment

Question 1: This question requires you to resolve conflict that may negatively affect the accomplishment of the project objectives. (Unit BSBPMG515 Manage Project Human Resources may support you to resolve this question. Please refer to the tasks you have performed for this criteria).

Question 2: What work performance data did you collect about the completion status of deliverables during this phase of your nominated project? Describe one example of a review of the effect on late completion of a deliverable and how you managed its effect and implementation of any agreed modifications? Responses must be relevant to your project.

D. Managing Project Control

Question 1:You are required to report project status and progress in regular reports.

Question 2: Give an example of the tools and techniques that you use to analyse the status of one deliverable in your project that guided the information and recommendation that you documented in a status report

Question 3: Referring to BSBPMG511 Manage Project Scope, present what you had done to perform impact analysis on a Change Request. You may provide the Change request form to complete this task.

Question 4: To display project plans are updated to reflect progress, referring to BSBPMG512 Manage Project Time, you are required to provide the tracking schedule with actuals showing variance with original plans that showed a variation between planned and actuals - which you had created by using a simple table or Gantt chart software or Excel. And also referring BSBPMG514 Manage Project Cost, you are required to provide the detailed budget performance report showing variances against baseline budget. This to ensure that you satisfy the performance criteria.

Question 5: Which project plans/logs and registers would you require to update in order to direct and manage the project work? Why would they modify?

E. Finalising the project

E1. Referring to your nominated project that you have managed or are dealing with as stated in BSBPMG511 Manage Project Scope, you are required to create a finalisation plan including procedures and activities that need to occur.

E2. Prepare a Close-Out Report for a project that you have managed.

Project Closure report must be completed as it ensures the documentation all of the tasks needed to complete your project including the objectives have been met and hand over the deliverables to your Stakeholders. This activity must be completed by a Project Manager to gain agreement from their Sponsor and that the project is ready for closure. Once approved, the Project Manager can proceed with the movements desired to close the project promptly.
You may utilise any template to create your project close out report.
However, to assist you to develop the report, please see below suggested contents (but not limited to) to beconsidered. of your own choice based on the type and requirement of your nominated project and ensure the following suggested areas or similar contents are covered):
• Executive Summary (which includes background, reason for closing)
• Project Performance(against objectives, outcomes, outputs, schedule and budgets)
• Final product and acceptance list
• Check list of project artifacts
• Resources
• Project lessons learned
• Post implementation Plans
• Open issues

E3. For each of the other 7 units comprising this Diploma of Project Management, identify documents for your project that demonstrates that an integrative process is applied in your project.

F. PRESENTATION and Final Project Report

PRESENTATION OF PROJECT AND FINAL REPORT
Final project report and the presentation of the project must be completed.

The final project report demonstrates your comprehensive knowledge on how you document the overall outcome of the project fostering appropriate integration of all the 7 units/knowledge areas of project Management you have demonstrated through this course. Now, in order to complete this course you are required to complete this assessment for this course by presenting your nominated project as stated in BSBPMG511 Manage Project Scopesupported by a portfolio of evidence (that had been built as you have completed assessment activities) assuming to present to the internal and external Stakeholders (e.g. Board of Directors, Sponsors, General Manager) through the development of a POWER-POINT presentation of the final project, that demonstrates applying project management techniques which includes integrative processes.

A mutually convenient time will be arranged for you to deliver an oral presentation on your project signifying how you have applied project management techniques and integrative processes.

You will be assessed individually for the power point resources you develop and the oral demonstration of information about the project
The determination of your presentation is to establish the application of your knowledge and skills to apply project management techniques in managing your project. To do this, you may develop your presentation as you wish, however the following processes are to be incorporated in your presentation:

a) how project scope was defined (what, why, when, how of the project)

b) how outcomes of the project were determined (required end result and benefit)

c) how requirements of the project were determined (procurement, quality, time, cost, HR, risk)

d) how own contribution to the project was planned and implemented (communication, HR)

e) how the project was tracked, monitored and controlled (timelines, budgeting, communications, quality, risk)

f) how the project was reviewed for compliance and future improvement (quality, communications)

You also have the options to support your power point presentation with whiteboard, internet, photographs or handouts to assist the audience in understanding the context of your project. However, it is required that you advise the facilitator of any specific equipment requirements beforehand.
