The expenditure cycle begins in the purchasing department where a purchase requisition is received from various departments which have identified a need. Purchase requisitions for amounts greater than $5,000 require the requesting department supervisor’s signature and if the supervisor’s signature is missing, it is sent back to the requesting department. The purchase requisition is entered into the purchasing system and along with information from the inventory and vendor master database files, is used to update the purchases master file and generate a purchase order (3 copies). One copy of the purchase order is sent to the vendor, one copy is sent to accounts payable, and one copy is filed in purchasing alphabetically along with the purchase requisition.
