Case Scenario

One of the coders visits the HIM director to complain that he hasn't been trained properly on the HIM department's new software. Cast of Characters Victor Diaz, Coder Barbara Gonzalez, HIM Director About the Case The objective of this scenario is to demonstrate the need for proper change management and training before systems are implemented. In the scenario an encoder system was implemented with very little notice and very little training. The outcome, as one would expect, was less than perfect. The coders were uncomfortable with the system and were not using it. The system in this case was an encoder, but it could have been any system. Facilities invest millions of dollars in information systems including the time spent in the implementation. This is money and time wasted if the system is not utilized properly. Too often, change management is ignored or given too little time. As a result of this, the staff often does not have a realistic expectation of the system or the necessary skills to efficiently utilize the system-even for a novice user.

Case Discussion

1. What problems could have occurred in this case? What departments could have been affected?

2. What should the HIM director do to address this situation?

3. How can system changes, including encoder software changes, be handled by management to ensure a smooth transition?
