Change communication plan

An imaginary situation will be analysed in "Valmet Oyj" company context and environment.

The Case
Imagine that your Valmet Oyj company has decided to invest in a new HRM software system (e.g. SAP). The investment requires a lot of time and money. The reason for the investment is simple: the system provider of the current system has informed that they are not developing the system anymore, just maintaining it with the current features. The company needs to ensure they have HRM tools in the future. Thus, they are making this change.

The effects of the investment
The new system will drastically change the workflows and job contents of the HR department. New competencies, skills and a new organisational structure with new positions will be required. From now on, the managers themselves will do many of the daily HR operations, not provided as a service by the HR team. Some HR positions will cease to exist after the new software launch. The company doesn't know yet if there will be layoffs due to the new system.
1/3 of the HR department personnel is needed to participate in the new data system implementation project in addition to their current workload. These project members have not been nominated yet.
All company managers will be using the software and it will affect the managers' processes and roles/responsibilities.
The system will also affect how personal information is handled (GDPR). All the employees will use the system to update their personal details and communicate and give feedback to their colleagues. The system is also used as the only tool in the performance appraisal and competence management process.
