Special Events Planning Project
You will create a virtual fundraiser. You will create all the documents necessary to complete a charity fundraiser. I have listed the steps below and added additional information when needed.
DO NOT SEND ANY OF THESE DOCUMENTS. YOU ARE ONLY CREATING THEM AS PART OF THE PROJECT .
1. Choose a Charity
a. Make it is a true charity and not a not-for-profit organization
2. You will use the date of Thursday December 7, 2023, for your fundraiser date
3. Write a letter to the charity asking permission to perform this fundraiser
a. Use their actual address
b. Try to find out the name of their fundraising director from their website
c. Include the proposed date of the fundraiser and that you are planning a silent auction
d. Add in any other possible ways to increase donations
e. Create the letter in a Word document but do not send
4. Write a letter to the Windsor Director asking permission to hold this charity in the college on the
proposed date
a. Use their name and the College address
b. Give a brief description of the fundraiser
5. Create a poster in advance of the event that will explain the event and keep the date in mind to
students. This poster is like a Save The Date notice.
a. Include the charity logo
b. Include your College logo
c. Include the date, time, and place
d. Briefly describe the event
e. Make the font large enough so people can read it from 6 feet away
6. (Optional) If your charity accepts physical donations (clothing, food, toys, etc.), create a poster
to describe these donations your fundraiser will accept
a. Describe the type of items accepted
b. Include a list of items not accepted
c. Describe where and when the items can be dropped off at the college.
7. Donation Request Letter
a. You will create a letter that would have normally taken around to the downtown
businesses asking for donations
b. The letter will describe the event including the date, time, and location.
c. You will ask politely if the business has any items that they would donate to a silent
auction
8. Fundraiser Poster
a. You will create a poster to describe the event
b. The day, time, location, and charity should be prominently displayed on the poster
c. Any special details should also be displayed clearly
9. Silent Auction Spreadsheet
a. You will create a spreadsheet showing all the businesses and items donated to the event
b. One line per item
c. Show the company name, item name, short description and value
d. Show starting bid value and incremental bid value
10. Mail Merge Silent Auction sheets
a. Using the spreadsheet created in the previous step, you will create a set of Silent
Auction sheets - one per item
b. These sheets will be used in the auction for the participants to sign their name and bid
c. We will go over the format of the spreadsheet and silent auction sheets in class
11. Thank you letter
a. You will create Thank you letters, one for each business, that donated an item
b. The contents will be a sincere thanks for their contribution to the overall total raised
