In a 2- to 3-page Microsoft Word document, create a project charter for the project for developing a corporate Website. The project charter should consist of detailed description of different aspects in all the different phases of the project. It should include the following details: Project objective Manager's authority Project deliverables Approach of the project.
Analysis of different phases that is required for building a corporate website for Offex Limited.
The various phases that are included within the scope of this project management can be described as (Rubab, 2018):
a) Gathering of information b) planning c) designing to display and synchronize the contents d) writing of contents and assembly e) coding f) testing and launching of website and g) maintenance.
Phase 1 - Gathering information
Offex Limited is involved in selling of office equipment and thus the first step will be to prepare product catalogues, design, price, offers and related information. The information to be presented in website must be lucrative and should have the potential to attract customers.
Dividing the section of website such as company policies, contribution towards sustainability and corporate social responsibility, and market reputation should be provided. In addition a section for contact details will also be given such that website users can contact for requisite information as well as for feedback (Ruzza, 2017).
Collection of information will be accomplished with communication to sales and manufacturing staff. Final design and display aspects will be communication to marketing and strategic growth division. The main points can be summarized as:
- Defining the target audience.
- Setting goals for the website.
Phase 2 - Planning
This includes the sitemap, which describe how the website will look like. It must include section like a) services; b) technologies; c) portfolio; d) products; e) contact us and f) about us. The utility of sitemap will be to provide relationship between various pages of the website and to provide user-friendly navigation (Ruzza, 2017).
In addition to this, there will be a wireframe that will provide a visual representation of user interface. Further this will also be helpful in linking the stack related to the programming language and frameworks. Summary of this phase include:
- Preparation of a sitemap sketch
- A mock-up should be prepared
- The technology stack to be utilized must be selected
- Programing language, framework and CMS to be finalized
Phase 3 - Design
The prime section in this phase will be to give an overall shape to the website that mainly include logo, images, photos, and videos. It is important that the targeted customers must be kept in mind for appropriate design. Website layout will be provided from actual graphic designer and the feedback will be collected in this phase. The cycle of improvement will be repeated such that the stakeholder or the customers can be satisfied; such that the purpose of website (display of information) can be accomplished. The summary of work required in this phase includes the following (Ruzza, 2017):
- Creating a colorful page in accordance to the layout planned
- Reviewing of the layouts
- Getting the feedback from stakeholders
- Changing the layout as and when required
Phase 4 - Writing of content and Assembly
The writing of the content will be overlapping to the above phase. This phase requires extensive communication among the audience, stakeholders, and designing of website. The information must be presented in easy and understanding manner, whereas the representation should be more attractive. Finally, the contents will be assembled and connected according to the description prepared in phase 2 - sitemap. The sub step required here are (Yu, 2016):
- Writing the content
- Reviewing the content, mainly from stakeholder' point of view
- Getting the content ready for publication
- Managing the pages according to the sitemap or layout
Phase 5 - Coding
The actual preparation of the website is commenced in this phase, where the website will be coded using appropriate programming language. In general the home page will be created first and the sub-pages can be created independently, which can be assembled after testing. Framework and CMS created for the development of website is to be placed according to the hierarchy of contents. It is important to note that deep understanding of the website development technology which will be used, is of high importance here. This phase include following steps (Yu, 2016):
- Building the website using the programing language
- Deploy of the content for the website overview
- Addition of special features as well as addition content for interactivity
- SEO of the website
Phase 6 - Testing
Testing of the programing codes, content as well as the assembly of materials will be a routine process in this project. The spelling and typos can be checked with software and the code must be validated at each line. FTP (File Transfer Protocol) must be used to link the connectivity between main server and user. To summarize the steps include here:
- Testing of the website created
- Uploading the website to the server
- Linking the FTP software
- Final testing and launching of the website
Finally, this phase also include review process that will be accompanied by stakeholders, customers as well as the developers.
Phase 7 - Maintenance
This phase will be a never ending process and require constant monitoring and up gradation of the website till the company requires. It should be noted that website is more sensitive compared to that of the product itself, as it determine the overall interest and at activity of the customers (Iskandar & Adhayani, 2018).
Feedback system on the website will allow to detect the problem faced at the user-end. Other than this, the CMS package must be updated regularly, in order to avoid any bugs or security risk. The summary of steps included in this phase are:
- Adding user report system
- Fixing bugs
- Keeping the website updated
