Scenario:
You have been selected to be part of the planning committee for your organisation's annual team building conference ensuring that it aligns with the organisation's identified standards, goals and objectives. Your instructions are to select an overseas location (anywhere in the world) where you think participants would find appealing.
Find a venue at this location to conduct a 5 day conference for 50 participants, which should include 2 days indoor seminars and 3 days of outdoor team bonding activities.
The proposed dates for the conference are June 14 - 18, 20-- and the budget allocation provided is a total of $200,000. This figure will include airfares, accommodation, transfers/local transport, all activities and all meals for the 50 participants. Part of your role as the planning committee is to also book flights and accommodation for everyone attending. You will need to conduct a team meeting to plan the entire project.
The project will be broken down into four (4) tasks and a result will be given for each task.
Task 1 (PR1) - A brief introduction giving an overall description of your conference -considering the organisations KPIs, goals, objectives, standards and values - why you have chosen the location, a planning sheet including minutes of the team meeting with allocation of roles and responsibilities for each team member including identifying who will take the lead in each task. This task should also include details of flights and accommodation for the proposed conference.
Task 2 (PR2) - A full itinerary for each day of the conference including transportation details, meals and free time if applicable.
Task 3 (PR3) - A budget showing all expenses, including transfer costs, meals, activities, flights and accommodation.
Task 4 (PR4) - A detailed explanation of each of the five (5) team building activities, including reasons why they were chosen and how they will benefit the staff.
