Objective of this Assignment:
To conduct a job analysis to prepare job descriptions and job specifications.
Instructions:
You are going to perform a job analysis, and then develop a job description and job specification based on the results of the job analysis. The final step will be to make up a report on your job analysis process. The main body of the assignment is your report on the job analysis process, making links to the course material and other research. The report portion is completed as the last step as you will need to complete the actual job analysis in order to discuss your process.
Conduct a "job analysis" by: Using the interview method, interviewing the job incumbent(minimum) and if possible, interview the direct superior as well. This may be completed virtually.
As an alternative, you can conduct a job analysis on the job you currently hold.
Notation:
Ensure your assignment provides the name of the organization and its main purpose. This will be the introduction to your assignment. Both the job analysis and the job descriptions and specification must be completed based on an actual organization.
Step 1: Job Analysis
Each interview should take 30 minutes to an hour. The interview(s) can be conducted virtually or by phone call.
During this time, you are to ask the incumbent (or yourself if you are analyzing your own job) a series of questions formatted to gather specific requirements for the job you are analyzing.
The questions and responses as well as any other notes are to be included in the appendices of your assignment.
The answers to the questions and any other notes will be used to create the job description and specification (Step 2 and 3 below).
Step 2. Job Description
Once you have completed your job analysis, write up a job description including the job title and description of the job content.
The description of the job content is to be obtained by identifying the most significant tasks the incumbent would be responsible for.
You are to create a new job description for the position. Under no circumstance should you use any job descriptions from your chosen employer.
The job description should be structured in a way that captures the position title, key responsibilities, reporting relationships (who reports to whom?), working conditions (outside work, shift work, travel).
The description should be professional in appearance.
Consider any legislative requirements and implications. Your job description is part of your appendices.
Step 3. Job Specification
Prepare employee specifications for the job.
This is a separate document from your job description and included in your appendices.
This should include KSAOs required to perform the job at an acceptable level. Use the headings below to format your specification.
Knowledge
Education and Experience
Skills
Abilities
Other characteristics, competencies and qualifications (motivation, licenses, etc.
Step 4. Job Analysis Report
Your report should be at least TWO pages (or three) in length. This is not your job analysis notes, job description and specification. This is a discussion of the job analysis process you completed. Ensure you support your discussion with course material and additional research. This is the essay portion of your assignment.
