The new deck
You and your partner just finished building a deck for Sharma and Peter Kovatz, - the second project for your new carpentry business. They're pleased with their new deck, and with the five-year guarantee you decided to offer in order to set your new company apart from the many other small deck and fence-building operations in town. You're happy with the project, too, because it's more elaborate than the average deck. With two levels, a double staircase down to the yard and a built-in opening around a large maple tree, the finished deck demonstrates the range of your skills and your innovation in tackling obstacles.
From the business and communication courses in your carpentry program at college, you remember the importance of generating word-of-mouth advertising from satisfied customers. In fact, this job came through a referral from your first customer, a neighbour down the street. If every customer brings in at least one other customer, your business could soon be growing quickly.
You'd like to build goodwill and encourage a referral by wrapping up the project with a personal letter. In addition to thanking Sharma and Peter for their business, though, you want to remind them about the routine maintenance (checking for loose fasteners, insect damage and water problems every spring, and using a deck stain every two years) they need to do in order to validate the guarantee. You also want to ask a favour: could you take pictures of the deck for the portfolio you show potential new customers?
Since these are the three main messages you can imagine giving all of your customers after a project, you'd like to use the letter you send Sharma and Peter as the basis for a form letter that you can customize easily by changing the customer's name, the date and the name of the project. That way, you won't have to spend time composing a new letter after every job.
A letter to Sharma and Peter that demonstrates a you-attitude in each of the three main messages. Keep in mind that you want to use it as a form letter for future customers.
