Assignment Part: Building the Team
Case Study
All of the assignments in this course are based on project management tasks for a fictional case study.
You have been hired as a project manager by a non-profit organization, Southern Alberta Youth Shelter (SAYS). SAYS exists to make sure at-risk youth have a comfortable and safe place to stay. For youth under 18, SAYS provides a shelter, supper, and breakfast. Youth have supports to help them reconnect with family or find ways of living on their own, through supportive living arrangements or transitional housing. Youth are able to stay at SAYS if all else fails.
For those who are 18 to 25 years old, SAYS provides services and support to find transitional housing for the participants as well as job searches, mental health help, and general life skills.
SAYS has a volunteer Board of Directors and a paid Executive Director, Ivana Halp. There are two managers: General Manager, Ima Boz, and Fund Development Manager, Phil Coffers. There are eight full-time staff, and five part-time, on-call staff. The Board of Directors consists of the following eight people:
• Sue Yoo, lawyer
• Bea N. Counter, accountant
• Owen Err, local small-business owner
• Karen Good, school liaison worker
• two parents of former clients, Les Grypin and Shay Monu
• MaikinRooles, city councillor
• Dr. Sharon Wysdem, social work professor from the university
SAYS is largely funded by family services (70% of their budget), a few long-term philanthropic individuals (15%), and the rest by donations. The organization generally runs a budget of around $1 million a year.
SAYS would like to buy a fourplex to set up their own transitional housing unit. The fourplex costs $400,000 to buy, needs $100,000 in updates, and will require roughly $25,000 a year in ongoing operating costs.
Your job as project manager is to plan and execute fundraising to acquire the funds money needed for the initiative and ensure it remains sustainable into the future. You may leverage anyone employed by or affiliated with SAYS as a part of your project team.
The SAYS Executive Director has requested that you put together the following information and submit it for review before proceeding to the next phases:
• Compose a clear and concise project description
• Decide who will be on your team (give anyone not already specified in the case study a creative name). Create a stakeholder register.
• Create a communication plan
