Background
Most universities that are committed to providing their student bodies with up-to-date information and knowledge about the commercial computing environment and employment within it run a careers and employment conference every year such as Comex and IEEE Conference.
During a conference a number of events take place which include:
- An employment fair during which students can browse a large number of stalls in the main conference hall where prospective employers and placement employers provide information about their organisations and the opportunities they offer to students and graduates
- Invited speakers who each give 20-minute presentations on subjects dear to them, to their company and of interest to the student body in smaller rooms.
- Mock interviews during which employers ‘interview' students and future graduates so that they can learn how employment interviews are conducted and also practice their interview technique
- Placement interviews in which students are interviewed by organisations who offer placement opportunities for one of these opportunities
- CV-writing and job application workshops
For many years these events were run on a shoe-string with little or no system or admin support for:
- Attracting potential employers and speakers to the conference
- Attracting potential delegates to the conference
- Publicising information (text and images) about the employers and about speakers and the subject of their presentations and workshops
- Publicising information (text and images) about the date, time and venues of the exhibition, the talks and the workshops
- Allowing interested parties to book a place at a talk or workshop until the maximum capacity of the venue\event is reached
- Publicising feedback from delegates on the talks and workshops themselves to inform other, potential delegates
- Gathering information from delegates about the suitability of the conference, its content, its speakers and the venue and organisation
This year it has been decided that the event at Municipal hall in 2019 will be run by an events management company.
You have been approached by the events management company to organize the event on their behalf.
The events company has given you a budget of £100,000 pounds to put this event on.
The company has given you the following information.
They have booked the hall for the event to take place on 27th and 28th July 2019 and paid for the hall so this does not come out of your budget.
The hall will hold 60 Companies. Each company has a choice between a 6ft or 12ft table with space for extra advertising space.
They need you to plan the event by creating a portfolio.

1 Project plan
a. A project charter defining:
i. The detail of the project goal of running the event successfully
ii. The project deliverables
iii. The project success criteria
iv. The project constraints on time, budget and resources
v. A strategy to manage project risk

vii. A strategy to manage project communication
b. A Work Breakdown Structure of the tasks required to complete the project successfully
c. A Resource List which defines how many of which human resource role is required for the project
d. A job description for each of the roles identified above
e. A person specification for each of the roles identified above
f. A Gantt Chart (in week view) which shows:
i. Project tasks
ii. Project task dependencies
iii. Project resources
iv. The allocation of project resources to project tasks
v. The overall project timescale

3 A digital Floor plan of the main hall showing where each company will be placed
4 Digital advertising of the event to companies.
5 A marketing campaign to the local university and colleges to get people to book tickets.
6 A website that shows the companies attending the event
7 Information and times of the talks that will take place on each day and where they will be held
8 A management report which will be presented to the events company outlining all the work undertaken and by who .
9 A 15-minute presentation to the relevant decision makers for the event to run which will include:
a. A statement about you and your organisation
b. An overview of your understanding of the project, its aim, its deliverable and its constraints
c. An overview of how your organisation would carry out the project on time, on budget and to the required level of quality,
d. The website
e. The digital marketing materials .
