Case Study of elicitation and collaboration
The shipping team at XYZ Manufacturing expressed concern about the reliability of current inventory data at the warehouse. Recently, several cases of a product were sold to a distributor when they were not currently in stock. Sarah, the business analyst, sat down with John, the warehouse manager, to figure out what was going on.
She had earlier elicited information using surveys and questions, but realized her results were inconsistent, hence she decided to have coffee with John.
She started by asking, "What is the problem that we need to address?"
John responded, "Well, we have a serious issue with inventory."
Sarah used a meta question to clarify the response.
"What makes you say that there is an inventory issue?" she asked.
John replied, "This organization has no idea of how many items we have in the warehouse at any given time."
Sarah used a detailed question to ask for more information.
"Is the issue with keeping track of incoming quantities of product, outgoing quantities of product, or both?"
John responded, "I think it's both, but I believe that we should focus on keeping track of incoming quantity and our current stock of each product first."
Sarah dug deeper for more details to provide direction for subsequent elicitation interviews and involvement with this pending effort, asking: "Who should keep track of incoming quantity? What should they keep track of? How often should they keep track of it? Where should they do it?"
John pointed to Sam the warehouse coordinator, as the person with primary responsibility for the current product inventory. From a data perspective, John listed the item number, item quantity, and weekly shipments as the key data values currently being tracked. He explained that the warehouse has a simple, spreadsheet-driven inventory system that might require an update or replacement.
