Case Study - Interoffice Letter
As a human resource consultant with a major Winnipeg organization, you are responsible for all human resource concerns/issues for three departments, including the Attendance Management Policy. This policy states that any employee absents from the workplace six or more days during a 12-month period will be interviewed to learn if something in the workplace contributes to these absences.
Today, you interviewed an employee who has missed a full 10 days of work in the past 12 months. During the meeting, you asked if they had a medical condition that you were not aware of that might be contributing to the number of sick days taken. While they are not required to reveal the details of a medical condition, they explained that the absences are due to migraine headaches made worse by the overhead fluorescent lights in their workspace. This is a condition you were unaware of when this person began working with your organization.
In response to this new information, you explained that they would be contacted by an in-house Medical Resource Specialist within the next 14 days who, working in conjunction with the employee's health care provider, would arrange for the removal of the fluorescent lighting in their workspace and, if possible, any other potential migraine triggers. You finished by letting them know that you will write a letter to them (with a cc to their health care provider) that summarizes what was discussed in the meeting and schedule a follow-up meeting in three months to review the situation.
