CASE STUDY – GROUP ASSIGNMENT

The Case Study Specification

The Australian Department of Health (NSW) provides a multitude of medical services to people in NSW; e.g. public hospitals. The NSW government is considering using MS Access for getting faster and better information for decision support. The data for MS Access comes from a legacy file system.

The government has no experience with MS Access, so it engages a consulting company to plan and implement it. You have to take on the role of employees of the consulting company and each group of students is in charge of this project. The first business process the government will implement in MS Access is the hospital admission process.

The government looks after many public hospitals with a range of medical officers (MO) within different medical fields (=speciality). Whenever a patient is admitted a record is created with an admission number (EpisodeNo), date and time, the urgency of admission as well as hospital, the patient number, and other patient data. During the stay, all the procedures performed and costs are recorded. When patients are discharged, again the date and time, as well as the status, get recorded.

At this stage, the government is providing you with test data only. The spreadsheet includes different worksheets in which data are explained further.

Your project consists of a range of tasks, beginning with designing the database (task 1) (ER Model - conceptual model), implementing it in MS Access (task 2), creating queries and reports in MS Access (task 3), documenting the design (task1), implementation steps (task2), query and reports (task3), answer clients’ questions (task1,4) and provide feedback about the project work (task5). The documentation (Project Management Report) has to be presented in a professional manner (tasks1-6).

Task 1: Conceptual Model (ER Model)

In task 1, your group has to design a conceptual model (ER Model) for the given admission data. The aim is that you design the database which you will then implement in MS Access and explain it in brief; including the reasoning for your choices of entities. (Hint: Check your legacy file/available data. Think how the attributes in the admission file can be grouped. Which data do and/or do not change with the business event? Which existing attribute identifies records uniquely?)

Furthermore explain for the client the terms master data, transaction data, normalisation, referential integrity, the primary key in your own words and provide examples from your HEALTH data (legacy file).

Task 2: Implementation

In task 2, each group has to implement the hospital admission data in MS Access according to the design of their ER Model and document some aspects of the implementation.

Implementation Requirements:

• The table names start with the group letter followed by “_”, e.g. “Z_customer”

• The implementation part of the project includes the table specification, data entry/load, and documentation. The legacy/test file has been made available at UTSOnline.

• Primary keys have to be taken from the existing data, no new keys must be generated.

• All provided data must be loaded/entered into MS Access.

• Stick to the implementation procedures as practiced in class! Do not make any other changes. (e.g. field size, all fields are required fields, index, etc.)

Task 4: XBRL

An employee of NSW HEALTH, Mr. Green, followed all the steps you have done during the design and implementation process. He is very interested and asks you a lot of questions during the implementation. Mr. Green has heard about XBRL but does not know what this acronym means and what it is used for.

Provide him with a description including usage, purpose, at least two advantages and two disadvantages. Explain also the technology in brief and if/how it is used in Australia. Is it mandatory? Which type of companies would use it and would it be something, NSW Health could also benefit from? Include reasoning, why or why not you think NSW Health should use it.

Task 5: Teamwork – lessons learned / contribution

Task 5 is all about the process of working together as a team and a brief reflection.

Please document anything notable, problems encountered and solutions found. Any team management issues occurring during the project. If there were none, please note this down in the Project Management Report.

Furthermore, include the experience / brief reflection / “lessons learned” statement of each team member or the whole team of doing the group assignment and the contribution of each team member to the overall project. What did work well in your team (3 items) and what would you change/improve in your next project (2 items)?

Task 6: Project Management Report – presentation/overall ‘impression’

The Project Management Report (PMR) is the documentation of the work you have done for the client and is part of the implementation project. The PMR includes a cover page, an introduction, page numbers, references, and bibliography but a conclusion is optional.

The content of the PMR has outlined above and the marks assigned for this task are for formal requirements and presentation/overall ‘impression’ only.
