Reduction in Cycle Time:
The time gap between the receipt of the order and the delivery of the product is called cycle time. An organization can have a make-to-order or make-to-stock manufacturing system. In make-to-stock systems, the products are manufactured and stocked in warehouses or with the distributors. Some organizations maintain distribution and delivery systems manually. Some organizations computerize the systems but they are not integrated with the rest of the systems in the organization. When a client places an order, a clerk first checks whether the ordered item is available in the warehouse nearest to the customer. Then, he will check whether it is available in any of the warehouses of the company. If it is available, he has to inform the head of the sales department and after taking his/her approval, he has to inform the personnel in the warehouse to ship the product to the desired destination. The clerk then informs the finance department to raise the invoice. Within the department and then in the organization, the invoice moves between various hierarchical levels for approval. If the item is not available in the warehouse, it has to be checked whether the required raw material and components are available in the warehouse to produce the required quantity of product. If raw material and components are not available, orders to procure them are generated. This takes several days or weeks for organizations having no proper ERP system.
If an organization has an ERP system, at the click of a button, the system checks the availability of items, sends information to all the concerned departments, takes approval, and delivers the product within minutes. Thus, the ERP system helps reduce cycle time.
The ERP system can reduce the cycle time drastically in make-to-order systems. In organizations using make-to-order systems without ERP, the conversion of design drawings into software programs for computerizing production operations is carried out manually. The ERP system automates the process of conversion and reduces the cycle time by 30% - 50%.
