Managing Data:
Data is an important resource that must be managed properly to ensure the success and survival of an organization. These data resources are managed through a process called data resource management. Data resource management, also called data management, or enterprise data management, constitutes all the processes that are related to managing data as a valuable resource.
The Data Management Association (DAMA), an international organization that works for developing advanced concepts and practices of data resource management, defines data resource management as, "the development and execution of architectures, policies, practices, and procedures that properly manage the full data lifecycle needs of an enterprise."
Database management ensures the proper management of a firm's data resources. However, certain data management efforts are required in order to overcome some of the problems that may arise from the use of a DBMS approach. Some of the problems involved in the use of the DBMS approach include the need for hiring specialized staff, high conversion costs, huge costs of installation, and need for backup and recovery. The various functions involved in data resource management are: (1) database administration, (2) data planning, and (3) data administration.
Data administration
Data administration is a function that involves establishing and enforcing policies and procedures for data management. It involves the process of managing the collection, storage, and dissemination of all data types in such a way that the data becomes a standardized resource that is available to all the end users in the organization. This function focuses mainly on controlling the flow of data in an organization. It involves developing policies, setting corporate database design standards, processing and security measures, and selecting database management and data dictionary software.
Data planning
Data planning is a corporate planning and analysis function that focuses on data resource management. It involves the development of data architecture for the data resources of the firm that works in conjunction with the strategic mission and plans of the firm. It also involves the various processes and objectives of the various business units of the organization. This function is carried out by organizations that are involved in making long-range plans for the strategic use and management of their data resources.
Database administration
Database administration is a function that is responsible for ensuring the proper and effective use of the database management technology. It involves physical and logical design, developing and maintaining a data dictionary, monitoring and enhancing the performance of databases, and enforcing standards for database use and security.
