Macros

Macros help in automating a frequently performed task in Microsoft Excel. A macro is a symbol, name, or key that represents a list of commands. Macros are saved as files on the system and later, when the macro name is entered, the entire set of operations is executed. Macros are stored in a separate location in the spreadsheet. For example, some tasks like printing a block of worksheet, copying functions and formulas into a new row, etc., can be saved as macros.
Using a macro is like recording a song on a tape recorder. When a macro is invoked, the operations carried out in the workbook are continuously recorded until it is stopped. When the macro is run, the operations or the commands which were recorded earlier will be played. Proper care should be taken while recording a macro. Even a small mistake in the operation or the command is recorded. Every time a macro is recorded, it is stored as a new module in the workbook. The user should follow the steps given here for recording a macro:

• Select the cell for which the macro should be recorded.
• Go to Tools menu, select Macro, and click on Record.
• A dialog box appears asking for the macro name, a shortcut key, the place where the macro should be stored, and description for the macro. The user has to enter all the details and click on OK.
• Go to the Stop Recording toolbar and click relative reference to set the macro recorder to record the relative cell references.
• Type the formula in the cell. Select the cell, hold the handle of the cell pointer and drag down till the cell for which the user wants to do calculations.
• Click on the Stop Recording button on the Stop Recording toolbar.
• To run the macro, add a new worksheet in the workbook.
• Select a cell and run the macro by pressing CTRL+(shortcut key given). With this command, the column will be automatically filled up.
