INTRANET

The intranet is a private computer network which is designed for internal use within the organization. It is similar to the Internet in terms of the hardware and software used. However, intranets and the Internet are different from each other in terms of the purposes for which they are used. While the Internet is open for public access, intranets are installed for a limited set of users (i.e., organizational users). Compared to the Internet, intranets are highly secure to ensure that external users cannot access them.

The intranet makes use of network connectivity, Transmission Control Protocol/Internet protocol (TCP/IP), and telecommunication systems to facilitate sharing of internal organizational information among its employees. Unlike the Internet, the intranet is not accessible by external entities and is strictly meant for internal use. Intranets that are connected to the external networks are usually equipped with firewalls, which screen incoming data and allow only selected members to access internal data. The hardware and software used for an intranet website are the same as Internet websites: a web server using TCP/IP, installation of the programs on all computers, a homepage in the HTML (Hyper Text Markup Language) format, a database server, and a browser.

Advantages of Intranet:

Intranets are very useful in business organizations as they facilitate internal communication within an organization. Following are some of the advantages of intranets in an organization:

• Corporate intranets facilitate information sharing and communication of messages in a secure manner to employees inside the organization.
• They facilitate cooperation and collaboration among employees on projects.
• They promote ideas and knowledge sharing among the employees. Intranets also help in providing a reliable and secure sharing of the organization's information resources.
• They enhance the information management ability of organizations. They also help in streamlining the distribution of reports and other documents within the organization.
• The use of intranets results in greater productivity. This is because the employees have better access to accurate/up-to-date information. The employees would also be able to make better use of the existing information, thus reducing the cost of acquiring, printing, and distribution of information.

Disadvantages of Intranet

Apart from the advantages just mentioned, intranets also have certain drawbacks or limitations. Following are some of the disadvantages of intranets:

• The top management may be reluctant to install the intranet for fear of disclosing the internal secrets of the company to the public. The management needs to be convinced that the firewall software placed in the intranets will protect or secure the data from the external world.
• Apart from the top management, the employees of the organization may also be reluctant to use the intranet as they would fear unauthorized access and sharing of their information. The employees should be properly informed about the advantages of using the intranet and should be convinced to share their knowledge and information with the other employees.
• The top management may oppose the installation of the intranet as it would require expending of funds and recruitment of employees.
