Information Systems at CRY:
Seven friends in the year 1979 decided to transform the lives of deprived children. The group was led by Rippan Kapur. It had very few resources but the strong belief that every single person could make a difference in the life of a child. This conviction led to the formation of the organization Child Relief and You (CRY). Right from the initial stages, the founders decided not to provide direct funding for CRY. Instead, they decided to work directly for the cause.
Alternatively, they chose to project CRY as a link or a channel to millions of individuals who could provide resources and support to address their cause. This enabled the organization to become a movement of people working together to fight for the rights of children in India. Through the help of more than 100,000 individuals and organizations, CRY has helped more than one million children in India. On April 01, 2006, the organization's name was changed to Child Rights and You.
CRY is one of the NPOs in India which has made use of information systems to manage its activities. CRY has a good website (www.cry.org) which advertises the cause for which it is fighting and has made it known worldwide. In 2004, CRY deployed an enterprise resource planning (ERP) system developed by Agni Software Private Limited[4] to manage the operations related to its donations, financials, contacts, and volunteers. These systems are explained here in brief:
Donation management system
CRY receives financial as well as non-financial donations from individuals as well as corporates. The donations made by corporate houses are through the employees and employers. These donors give a fixed part of their salaries on a periodic basis or at one time. Also, the financial donations can be in Indian Rupees or in other foreign currencies. Non-financial donations - clothes, medicines, toys, etc., are also given. These donations are managed through back office work outsourced by CRY.
The CRY Donation Management System (CRYDMS) helps the organization to manage the donations. This information system records details of the donors like profiles; generates history, trends, and retention analysis; does receipting; etc. It also manages the campaigns of the organization effectively and economically.
Financial accounting system
All the non-profit or non-government organizations maintain their books of accounts based on the Bombay Public Trust Act of 1950. CRY keeps a computerized system for its accounting and MIS requirements. The CRY Financial Accounting System (CRYFAS) helps in maintaining the books of accounts for the NPO based on the Act. CRYFAS enables integration of the system with other systems in line with the CRYDMS. CRYFAS maintains cost centers and parallel cost centers. The accounts and the cost centers are maintained in parallel to track or find out the deviations with the actuals. The CRYFAS functions across all the branches. The system also helps in transferring the transactions of a branch to the head office and vice versa.
Contact management system
The CRY Contact Management System (CRYCMS) deals with the marketing (front office) of CRY. This system enables interaction with individual donors, corporate donors, product buyers, etc. The CRYCMS enables providing of better servicing and strategic information analysis and avoids the concentration of information with one person or entity. This system is used for leading the CRYDMS and CRYFAS. Data which is once entered can be automatically carried forward to CRYDMS. CRYCMS also caters to servicing the donors.
Volunteer management system
The CRY Volunteer Management System (CRYVMS) enables tracking of CRY volunteers. It records all the details of the volunteers manually or through the organization's website. On behalf of CRY, these volunteers can donate time, ideas, activities, thoughts, etc. The CRYVMS lists out the available time and skill sets of the volunteers. Depending on the requirements, CRY makes the relevant volunteers available for the activity. (Refer to Exhibit 15.3). The CRYVMS is also integrated with CRYDMS to check for any common volunteers and donors. The system also helps in generating various reports.
