In any organization, the human resources function deals with the recruitment, placement, compensation, evaluation, and development of employees. Its main objective is to make efficient and effective use of the human resources.
Human Resources Information Systems (HRIS) help in keeping track of the details of all the employees working in the organization as well as those of new applicants. Such information tracking is generally done with the help of a database or a series of databases that are inter-related. These information systems support activities like personnel planning, staffing, training and development of employees, and performance appraisals. Some of these systems are described here:
Staffing
The basic function of staffing in an organization is to find out and establish a working relationship with the employees, both existing as well as prospective candidates. Information systems that support staffing must record and track human resources within the organization and also aspiring applicants who are external to the organization. For example, a personnel record keeping system maintains a record of the number of people who have joined the organization, left the organization, and any other changes which were made to the personnel database records. The personnel database needs constant revision or updation due to changes in the job assignments, compensation, hiring, and termination of the services of employees. Another application that can improve the efficiency of staffing is personnel requirement forecasting. It provides forecasts of the number of personnel required for each job category or for new projects that are being planned by the management.
Training and development
Information systems that support the training and development function in an organization must enable the human resource managers to effectively plan and monitor the employee recruitment, training, and development programs. Human resource managers make these plans by undertaking an analysis of the programs that are currently being conducted in the organization and those which have been successful. These managers also need to conduct an analysis on the career progress of each and every employee working in the organization. This analysis helps them to decide whether any training programs and/or periodic performance appraisals should be recommended or not.
Compensation analysis
Using information systems, the human resource managers can analyze the range and distribution of compensation paid to the employees in the form of wages, salaries, incentives, and fringe benefits. This analysis would enable the company to make comparisons of the company's standards with the industry standards and other related economic indicators. The information obtained from the analysis is also used for making changes in the compensation.
