  • " PROJECTMANAGEMENTProject Description& overviewThe overall description of the project is mainly focus on the RALS Rostering systemwhich is the replacement of manual process to computer based system to keep track of theRALS volunteers. The computer based system has the information’s about the RALSvolunteers. The computer based system has basic information’s of the volunteer and thevolunteer organizations details which provide volunteers for RALS. In Riverina Region,Indigenous Community Volunteers (ICV)is the active organization.RALS mainly depends onthe volunteers(Collins, 2011).The volunteers have the following activities.? Ticket sales for the show? Cleaning the site where the show is organized? Cleaning the site after the show completed.? Set up the site for the show? First aid for emergency needs.? Information stands to help the people.? Handing out the goodie bags and site maps? Managing the collection for lost and found. The computer based system maintains the details of volunteers which has the followinginformation’s of volunteers.? Name of the volunteer? Contact details? Certifications and qualifications relevant to the program tasks? Name of the volunteer organization? Available day/time? Allocated meal/Drink vouchersGlobex maintains the volunteer role details which includes the following:? Name of the role and its description? Qualification and certification required? Priority for the role? Volunteer organisation? Days/hours required for the RALS program1 Task – 1MOV - Measurable Organisational Value MOV is the main goal of the project which defines the value of the project. It alsoevaluates the project success rate.MOV development leads to work with the client closely. When the client interested in specific area, time frame and metric,it will increase theresponsibility in the project. If the OV is assigned then all the project stakeholders realisewhether the project is achievable or not.For this project we have to design the MOV by ourown ideas(Davidson Frame, 2014).MOV can be described by the followings? Identify the area of impact? Identify the value of the project? Developing appropriate metric? Setting time frame for MOV? Summarization of MOV in a table or statement a. To identify the desired area of impactThis describes the important areas in this project(Mir &Pinnington, 2014).SocialRALS is specially designed for farmers, agricultural equipment suppliers and lifestyleprojects. It displays the live show which has great impact in social.FinancialGlobex is a client of Virtucon. Globex requests the virtucon to manage this projectdevelopment. Virtucon can’t charge for this project. So this project has great impact onfinancial.CustomerThe volunteers have the great impact of this project. The volunteer organisation haslist of volunteers. RALS program mainly depends on the volunteers. This area has the greatimpact on this project.StrategyStrategy of the project describes the main goal of this project. Project strategy helps toimprove the performance and development of the project. Developing the computer basedsystem to maintain the volunteers list for the RALS program is the strategy of this project. 2 OperationalOperational works are done for the project to achieve the main goal of the project. Theoperational works in this project includes the tasks developed to conduct the RALS program. The computer based system must have the information’s about the volunteers with itsorganization name.b. To Identify the Desired Value of the ProjectValue of the project is determined by following qualities of the project. Better, faster, lessexpensive and doing more for the project. It identifies the Potential value of the organisation.CheaperGlobex is a client of Virtucon. To improve the community of the Globex, Virtucondoesn’t charge for the project and it also delivers the project solution at the right time.Virtucon designs the project with as cheap as possible for all the requirements of the project. So this project has the cheaper value.c. To develop an Appropriate metricIf the desired area of the impact is identified then we have to develop the metric ornumber of targets and expectations of the stakeholders. In this project by developing thecomputer based system instead of manual process helps the organization to complete theproject in a short amount of time and it also reduces task cost of the project. This helps theRALS to get more number of volunteers to conduct the program. If there is more number ofvolunteers then it simple and easy process to organize the program with great efficiency.d. Setting Time Frame to achieve MOVIf the area of impact, value of the organization and metric value are identified then wehave to set the time frame to achieve MOV. This time frame of the project will not coincidewith the scheduled project time. The computer based system will reduce the time to track thevolunteers. But it doesn’t involve the RALs programs efficient percentage. So it takes thetime to get more success percent in the program(Uzulans, 2016).e. To Summarize the MOV in clear, Concise StatementOnce the area of impact, metric value, organisation value and Time frame areachieved, then the MOV should be summarized. This helps to communicate with all the stakeholders.MOV of the project can be summarized by the completion of a statement. The3 summarize of the project gives the information about what is the output of the project.MOVis mainly focused on the project and it is not focus on the technology which is used for thedevelopment of the project.Task 2ScopeProject planning is one of the parts of project scope. It is used to determine anddocument the list of goals , tasks , deadlines and cost.Scope managementScope management is the collection of project tasks to complete the whole project. Itexplains the details of the project scope.Such as how the project is defined, verified anddeveloped(Mehta, 2007).Scope of the ProjectThe main scope of this project plan is used to conduct the Riverina Agriculture andLife style show in 2000 with proper plannning and management. Many tasks are created tocomplete this show(Atkinson, Crawford, & Ward, 2006).Scope management plan1. The below tasks are used to achieve the scope of the project. In this below tasks Subtasks are created to completed the work in given time.? Initial steps? Identify the Show Concept? Identify the show location? Create committee? Assign management process? Identify the volunteers? Give pre-training to Staffs? Invite potential and current clients? Design a booth display? Begin trade show material Development early? Conduct pre -show training4 ? Volunteers Roles? Ticket sales at the gate? Clean up of the RALS site during the day and after hours? Clean up of site after the event? First aid? Maintaining a lost and found collection2. Then each tasks are assigned with the start date and finish date. It represents the tasksare completed within the given date. 3. Resoureces are correctly allocated to each tasks. Due to this the task are completedwith 100%.4. Workbreakdown strucure is also developed. It creates team work with staffs andeasily manage the projects.List of resourcesIn this project plan the below listed resources are used to manage the whole tasks andplan.? Project manager? Volunteer 1? Volunteer 2? Volunteer 3? Volunteer 4? Volunteer 5? Volunteer 6? Volunteer 7? Volunteer 8? Company staff 1? Company staff 2? Company staff 3? Computer? Internet? Cab? Catering? First aid materials5 Types of resourcesIn this project plan three types of materials are used(Maylor, 2010). The types are1. Work resources - Project manager, Volunteer 1, Volunteer 2, Volunteer 3, Volunteer4, Volunteer 5, Volunteer 6, Volunteer 7, Volunteer 8, Company staff 1, Companystaff 2, and Company staff 3.2. It creates team work and easily manage the projects(Krause, 2006). It looks like a treestructure. Work breakdown structure of this project is explained below,7 MilestoneIn this project the listed below tasks are taken as a milestones,? Identify the Show Concept? Identify the volunteers? Maintaining a lost and found collectionDue to the milestones representation, above steps are completed within the allocated time. After completing these steps, only management proceed with the other steps. Milestonerepresents most important tasks(Gladden, 2012).Percentage of work completionYes, every allocated resources are complete their work in given allocated time and100% of work completion.8 List of tasksThe list of tasks figure is given below, which is created using in MS Project.List of resourcesResoureces are allocated to each tasks. Due to this the task are completed with 100%.9 Resources allocation to each tasks. Each task alloacated with different resources. The details of resources and tasks are givenbelow,Time estimationTime estimated to each tasks. The time estimation table is given below.10 Project plan is created using MS Project is attached here.204919-ProjectManagement.mpp Task – 4Assumptions? Project tasks and sub tasks are assigned with assumptions.? Resources are assigned with assumptions.? Resources standard rate also assigned with assumptions.? In assumption only, project start date and end date is also assigned.Project risk analysis and planTo identify the risk by using following phases such as ? Brainstorming? Delphi technique? SWOT analysis? Interviewing and ? Documentation reviewsThe documentation reviews are to measure and taken to contain risks. TheBrainstorming phases are used to team work and team members are gives to handle thepossible risks. The interviewing method is used to getting the feedback from professionals. The Delphi method is used to collect the data from project manager. The SWOT analysis isused to reduce the threats of the project by using Strengths, Opportunities and Weakness ofthe project(Agrawal, 2009).The project staff process is identify the risk and reduce the risk. The risk identificationanalysis training should be managed by project management. This training must be coveredthe risk analysis and risk management plan.11 The risk identification must be performed early in the project. It should be an ongoingprocess of the project(Ahn, 2015). The risk analysis is used to identify the risk and estimatethe risk. The project risk analysis has two methods. They are,? Qualitative Analysis? Quantitative AnalysisQuantitative Analysis is used to evaluating the threats and impact the risk. The risk analysisimpact may be affecting the cost, scope and schedule of the project. It requires to indicate thethreats attentions. Quantitative analysis involves to assign the high priority threats, identifythe target for resource, schedule and cost and the quantified value are related to the schedule, time and resources(Bakker, Boonstra, &Wortmann, 2014).The risk identification are,? Project Goals and strategy? Project Performance? Project Financing plan? Project cost? Project milestones? Project schedule? Project justification? Project Specifications? Work breakdown in Project12 To identify the risk has two techniques. These are Assumption analysis and Diagrammingtechniques. The assumption analysis is used to reviews the assumptions and ensuring thethreats(Dionne, 2013). The assumptions are tested and defined the project assumptions. For instance the risk identification are,? Human- Injury or Illness.? Procedural- Failure of systems? Project- Experiencing issues.? Natural- Weather and Disasters? Financial- Funding of non-availability.To controlling the risk has two methods. These are, Business Experiments and Plan DoCheck Act. The business experiments is used to reduce the risk. They involve the two action. These are Detective action and preventative action. The preventative action includes safetyand health training, Cross training a Firewall protection for your team. Detective actioninvolves double checking finance reports and installing sensorsto detecting the projectrisks(de Bakker, Boonstra, &Wortmann, 2010).Task- 5Quality Management PlanThe quality management plan is the internal part of the project plan. It describes lifecycleof the project and quality management. It includes the procedures and process for qualityplanning and assurance(Indelicato, 2013). The quality management Approaches are ? Quality control? Quality Assurance ? Quality standards and Requirements. It defines and ensuring the quality levels. The quality management plans are applied to,? Project Deliverable? Project Work processThe quality activities are used to define the quality standard and monitor the projectdeliverable processes. The quality management components are Quality tools, QualityStandards, Quality assurance and Control activities and Quality responsibilities and roles.13 Quality of the project is ensured by the following activities. The activities are listed below.? Verification activities? Validation activitiesVerification Activities Verification of the project ensures whether the projects have fulfilled the requirements.? Verify the resources which are used in this project are available.? Verify whether the volunteers are available in the required number.? Verify the task assigned to each volunteer.? Verify the volunteers qualification whether they are match the role of the project.? Verify whether the volunteers are available on the specific time and date of the RALSprogram.? Verify whether the volunteers are trained to perform the assigned task.? Verify whether the volunteer will fulfil the task successfully(Palomo, Rios Insua, &Ruggeri, 2007).Validation ActivitiesValidation of the project is done to make sure whether the project performs the desiredprocess and produces the correct output.? Validation of the project is done by testing the process of the project.? Validate the volunteers profile by their organization.? Validate the quality of the resources used in this project.? Validate the volunteers by their performance.? Validate the priority assigned for each task of the project.14 ReferencesAgrawal, R. (2009). Risk management. Jaipur, India: ABD Publishers.Ahn, S.
